What is Oracle Documents Presenter?

Oracle Documents Presenter is an app for tablets which lets you add, view, and manage presentations using your files in Oracle Documents Cloud Service. It gives you a graphical view of Oracle Documents Cloud Service content to use in customized presentations. The organization of the presentation is folder-based, making it easy to visualize and set up.

To use Documents Presenter, first set up a presentation folder in Oracle Documents Cloud Service. Add all the files you want to include in the presentation. You can share the content with other team members who may be working on the same project. People can add content to the presentation and keep your material current.

Start your Presenter app and add a new presentation using the folder you created. Download the folder to your tablet and your information is always available even if you're offline, so you can make a presentation at any time. All of the people on your teams can use the same material, and they'll always have access to the most up-to-date content.

How do I sign in and sign out?

Because Presenter uses Oracle Documents Cloud Service, you must have access to the service. Sign in to the app using the user name and password that you use for Oracle Documents Cloud Service.

To sign out, tap the settings icon, then tap Sign Out.

IMPORTANT: When you sign out, all of your presentations are removed from your device. The presentation files remain in the cloud.

How do I create a presentation?

Use your web browser, desktop app, or Oracle Documents Cloud Service mobile app to search through your Oracle Documents Cloud Service folders and find the information you want to use. You can use any content you can access, including information shared with you.

Group all the material you want to use for your presentation into a folder. You can include subfolders, videos, image files, or documents. Include what you need for your presentation.

Start the Presenter app and tap Add Presentation icon to create a presentation. Then scroll through the available folders in the cloud and tap Download icon under the folder to be included in your presentation.

To add or remove files from your presentation, access the folder in Oracle Documents Cloud Service using your web browser, desktop app, or mobile app and add or remove the necessary materials.

If the files are changed, Presenter notifies you so you can update the copies in your presentation.

Note:

If you use Microsoft PowerPoint files, be aware that hidden slides aren’t shown in Presenter.

Can I customize my presentation?

You can add folder icons and a background image, creating a unique look and feel. Add an image file called _folder_icon into the folder and that image will appear as the presentation's image. You can also add an image file named _folder_background to the folder, and that will be used for the presentation's background.

You can add image files by selecting the folder properties in Oracle Documents Cloud Service. Open the folder's Properties dialog and click the Presenter tab. Choose an image to upload for the folder and an image for the background. You can also add a description for the folder and that description appears with your presentation.

The system first uses any image with a .jpg extension. If you want to use a different file type (for example, .png), delete any existing _folder_icon.jpg file or _folder_background.jpg file. The system will then use the .png files you upload for the folder icon and background.

In the Presenter app, download the latest changes by tapping download icon. If you don't see the download icon immediately, tap Refresh icon.

Can I include internet content in my presentation?

If you want to include internet content (such as a link to a web page or a video), you can do so by adding a bookmark file to your content folder.

To create a bookmark file:

  1. Open the internet content in your web browser.

  2. Drag the URL (or the icon next to the URL) from the address bar to your desktop.

    The URL is saved as a .url file on Microsoft Windows or as a .webloc file on Apple Mac.

  3. Upload the bookmark file to the folder in Oracle Documents Cloud Service that stores your presentation content.

In Presenter download the folder content. You see the bookmark file as part of your presentation just like any other file. Just tap the bookmark or use the arrows to navigate through your presentation to the bookmark. The URL opens in an integrated browser window in Presenter.

  • Use browser gestures to navigate in the browser: slide up and down to scroll, pinch to zoom, double-tap to zoom in and out, and tap to show or hide the browser header/footer.

  • To open the URL in your web browser, click More icon and Open in Browser.

  • To close the browser and continue with your presentation, click X.

Do I need a network connection?

Once you've loaded all the content into your presentation, you won't need to be connected to use the materials. The material you selected is downloaded to your tablet, so you can present it at any time, whether you're online or not.

However, if you have included a bookmark to internet content (for example, a link to a URL or a video), you’ll need to be connected to the internet for the bookmark to work.

What if the presentation materials change?

When you first set up the presentation, material is downloaded to your tablet for you to use. To see if new or revised content is available, tap Refresh icon.

If you are online and an update is available, the Download icon (download icon) appears on your presentation. Tap download icon to update all the content in your presentation.

What types of files can I add to presentations?

You can use videos, graphics, and audio files for your presentations as well as documents.

Here's a list of the kinds of files you can use:

  • Image files: bmp, gif, jpg, jpeg, png, tif, tiff

  • Documents: doc, docx, pdf, txt, pages

  • Presentations: ppt, pptx

  • Audio: aif, aiff, aifc, caf, mp3, aac, m4a, wav

  • Videos: m4v, mp4, mpeg, mov

How can I protect the presentation material on my device?

Your password protects access to the app. Your files are encrypted when they're uploaded to the cloud and when they're stored, which prevents unauthorized use of the files. The files are also encrypted when they're downloaded to your tablet.

You can set a passcode in the Presenter app on your tablet. Passcodes are four-digit numbers that you set to lock the app when you're not using it.

  1. Tap Presenter settings, then tap Passcode Lock.

  2. Tap Turn Passcode On, then enter four digits to use as a passcode. Enter the digits again to confirm.

  3. Tap Require Passcode, then choose the amount of time that has to pass before you need to enter the passcode.

To disable or change the passcode, follow the same steps, but choose Turn Passcode Off or Change Passcode on the Passcode Lock page.

You can also use Touch ID if you have a compatible iOS device. Create a passcode then select the Touch ID option. The next time you open the app, you can either enter your passcode or use your fingerprint to unlock the app.

How do I present my files?

A presentation contains all the files, images, and videos you need. To do a presentation, tap the folder to access the content. Drill down to play a video, run a PowerPoint presentation, or view a document -- whatever is needed. Tap the up or down arrows in the top left corner of the screen to move through the content in the folder.

If you have bookmarks to internet content, the content displays in an integrated browser window. Click X to close the window and return to your presentation.

How much presentation material can I store on my device?

Storage amounts depend on the storage available on your device as well as the amount of storage you've been assigned in Oracle Documents Cloud Service. To check your available storage, tap the settings icon to see the amount you've used on your device.

If you're concerned you might not have enough storage for your presentations, see your service administrator to discuss storage quotas in Oracle Documents Cloud Service. You can remove older folders that aren't needed anymore to free up space if you need it.

Can I share presentation material?

You can create a public link to your presentation, then share that link with others.

Creating a public link

  1. Open your presentation.

  2. Tap the Presenter Share icon, and choose the application you’ll use to share the link.

  3. The Share Public Link dialog appears. Tap Create Public Link. Enter the following information:

    • A name for the link.

    • The permissions the person receiving the link will have.

      • Viewer: Viewers can look at files and folders, but can't change things.

      • Downloader: Downloaders can also download files and save them to their computer.

      • Contributor: Contributors can also modify files, update files, upload new files, and delete files.

    • Who can use the link. If available, you can send the link to Anyone, which means you can send it to people who don’t have an Oracle Documents Cloud Service account, or you can limit the recipients to All Registered Users, those people who have an account. Your service administrator configures your service to allow links to be sent to anyone or to restrict links.

    • An expiration date for the link.

    • An optional access code. If you set an access code, the person who gets the link will need to enter the code before the link can be used.

Tap Create when done.

Using a public link

After the link is created, the app you chose to use opens. For example, if you chose Mail, an email form opens with the public link URL inserted into the body of the email. Type the recipient’s email information to send the link to the recipient.

Your public link is saved, and you can use it again in a different app. Just select the app, then choose the public link you want to use.

Can I view speaker notes?

If your PowerPoint document includes speaker notes, you can view them in your presentation.

  1. Open your presentation.

  2. Tap Notes icon.

    A panel opens, showing any speaker notes for the slide.

To close the notes panel, tap Notes close icon.
