Clearing Data
You can clear data for selected entities from a specific Scenario, Year, and Period or range of periods for the following types of data:
-
Tax Provision
-
CbCR data
For foreign exchange (FX) rates data, this operation will clear all the rates data, except the Global Rates, for the selected entities in both the Consolidation (Consol) and CbCR cube.
To clear data, you must be a user with the service administrator role. You cannot clear data for a Locked or Not Started entity.
The members in the following dimensions are fixed and not available for selection in the Clear process:
-
View - Periodic
-
Currency - Entity Currency if All is not selected in the Data Source drop down. If All is selected in Data Source drop down, data for Entity Currency and all reporting currencies will be cleared.
-
Account - <all members>
-
Movement - <all members>
-
Multi-GAAP - <all members>
-
Custom- <all members>
-
ICP - <all members>
-
Consolidation - Entity Input if All is not selected in the Data Source drop down. If All is selected in Data Source drop down, data for all Consolidation members will be cleared.
After the Clear process, you must run a consolidation to update impacted values.
If you select All in the Data Source drop down, then the calculation status of the entities will be set based on the logic below:
- If a level 0 entity is selected, the selected entity and it's instances (if any exist) are set to No Data, and all the ancestors (of the selected level 0 entity and its shared instances) are set to Impacted.
- If a parent entity is selected, the system checks the calculation status of its child entities. If the calculation status of all childen of the selected entity is No Data then the calculation status of the parent entity and its shared instances (if any) also becomes No Data. Otherwise, the calculation status of the selected parent entity and any shared instances, and all their ancestors become Impacted.
- If the descendants of an entity are selected for example, with the IDescendants() function, the system clears the data of all the descendant entities and descendants of any shared instances of those entities, and updates their calculation status to No Data. All the ancestors (of the descendant entities and any shared instances) are marked as Impacted. Ancestors can have parent tax calc enabled, can have parent data entry enabled so unless all data is cleared for ancestor entities their calculation status must remain Impacted.
Note:
- If instead of All, you select any other data source (Managed Data, Supplemental Data or Other Data) from the Data Source drop down, the calculation status of the level 0 entity will be marked as Impacted. Only if you select All, will the calculation status set to No Data.
- If instead of All, you select any other data source (Managed
Data, Supplemental Data or Other Data) from the Data
Source drop down, the calculation status of the parent entity will be marked
as Impacted. If you select All in the data source then:
- The calculation status of the parent entity will be marked as No Data only when all its children’s calculation status started out as No Data.
- The calculation status will be marked as Impacted if any of the children of the selected parent entity have a calculation status of No Data.
The system does not include entities with No Data as part of the Clear process. The calculation status of entities with approval status Locked or Not Started will not be changed.
Note:
For an overview of security layers in Clear Data, see Managing Security.
Note:
After we clear data for an entity, all automation rules are also cleared from the entity. To reapply the tax automation global and domicile rule if it exists for that particular entity:- Run Tax Automation Global Save from Rules card
- Modify the Tax Automation Global/Domicile rule in Application -> Configuration and save it.
Example Use Case Scenarios
All the entities have a status other than No Data, none of the entities have an approval status that is locked or not started, and the All Data Source option is selected for all the examples.
Use Case 1: Clear data for any parent (TESTENTITY4)
- Data at TESTENTITY4 and its shared instances will be cleared.
- The calculation status of TESTENTITY4 and its shared instances becomes Impacted if it's child (TESTENTITY5) has a calculation status other than No Data, otherwise, the calculation status of TESTENTITY4 and its shared instances gets updated to No Data.
- All the ancestors of TESTENTITY4 and its shared instances which are TESTPARENT1, TESTPARENT2, TESTGRANDPARENT1 and TESTGRANDPARENT2 become Impacted.
Use Case 2: Clear data for Level 0 (TESTENTITY7)
- Data at TESTENTITY7 and its shared instances will be cleared.
- The calculation status of TESTENTITY7 and its shared instances get updated to No Data.
- Ancestors TESTENTITY6, TESTPARENT2, TESTPARENT3, TESTGRANDPARENT2 and TESTGRANDPARENT3 become Impacted.
Use Case 3: Clear Data for IDescendants(TESTPARENT2)
- Data at TESTPARENT2, TESTENTITY4, TESTENTITY4(Shared), TESTENTITY5, TESTENTITY6, TESTENTITY7, TESTENTITY7(Shared) and TESTENTITY8 will be cleared.
- The calculation status of the above instances get updated to No Data.
- Ancestors TESTPARENT1, TESTPARENT3, TESTGRANDPARENT1, TESTGRANDPARENT2 and TESTGRANDPARENT3 become Impacted.
Use Case 4: Clear data for Ancestors(TESTENTITY4)
- Data at TESTPARENT1, TESTPARENT2, TESTGRANDPARENT1 and TESTGRANDPARENT2 will be cleared.
- The calculation status of the above instances get updated based on its children status.
- If children of TESTPARENT2 have a calculation status other than No Data, TESTPARENT2 and TESTGRANDPARENT2 get Impacted, otherwise their calculation status becomes No Data.
- If children of TESTPARENT1 have a calculation status other than No Data, TESTPARENT1 and TESTGRANDPARENT1 get Impacted, otherwise their calculation status becomes No Data.
