Creating Requests

A request can be created by any governance user or data manager who is assigned to the initial Submit stage of a workflow model. The creating user can add request items to the request to perform tasks available for the workflow stage. After request items have been added, the request can be saved as a draft request.

To create a request from the Worklist:

  1. From the Worklist page, click new request button New Request and select a Workflow Model to use for the request.
  2. Select a target version for the request.

    Note:

    If the Workflow Model uses a version variable, then the version is preselected and displayed as a read-only label and cannot be changed.

  3. Click Add Items button to manually add items or click Load Items From File button to load items from a source file. For information on source files, see Creating a Source File.
  4. If you selected to manually add items to the request, continue to step 5. If you are loading items from a source file, configure the following options, click OK, and continue with step 7:
    • Device––Select Client File or Server File. If you selected Server File, select the Connection. Click Browse to select the source file.

    • Delimiter––Select the delimiter used in the source file.

    • Character Encoding––Select the encoding option used by the source file.

    • Strip Quotation Marks––Select to remove single and double quotation marks around values in the source file.

    • Task––Select a workflow task for the request items.

    • Hierarchy––Select a hierarchy to use for all request items being loaded form the source file.

    • Allow Blank Overrides––Select for blank values in the source file to be treated as blank value overrides for each item according to the Blank Value Indicator. If not selected, then blank values in the source file are ignored.

    • Blank Value Indicator––Define a text value to indicate that the current property value for an existing node referenced by the request item will be overridden with a blank value. If no indicator is specified, then any blank column value will be interpreted as a blank value override.

    Note:

    To upload items to a request from a file, specify the following properties in the file header, and in each line in the file to upload:

    • For Add actions: Name, Parent, Description

    • For Insert actions: Name, Parent

    • For Move actions: Name, Parent

  5. Depending on the scenario, the Add Items dialog box displays one or more of the following fields. Select valid information for the request item:
    • Task––Select a task from the list.

    • Hierarchy––Select a hierarchy to limit searching and browsing to a specific hierarchy.

    • Search––Enter a text value and click Search. Search results are displayed in the Available list.

    • Browse––Browse the structure of the selected hierarchy or perform a search. Search results are found in the hierarchy structure.

    • Items––Select from a list of nodes used for existing request items. This list allows a request to contain multiple request items for the same node.

    • Clipboard––Select from a list of nodes that were taken and copied to the Clipboard from a Browse, Query, or Compare page.

    • Available List, Selected List––Move nodes to the Selected List.

  6. Click OK.
  7. In the Item Details section of the page, define new property values for the request item.

    Required values are marked with an asterisk.

  8. Optional: Click Rename to rename a node.
  9. Click Update to temporarily save changes for the selected request item. Click Cancel to discard the changes made to the selected request item.

    Note:

    Changes made to a request item are implicitly saved when you perform another request item action such as selecting a different request item, moving a request item, or adding new request items. Changes to a request item cannot be discarded using Cancel after you have navigated away from the request item. In this case, the only way to discard those changes is to close the request without saving it.

    Tip:

    Properties that have been updated are marked as modified. Click Revert to Previous Value button to remove a property update from the request item.

  10. Repeat steps 3-8 to add items to the request.
  11. Click save button, enter a title for the request, and then click OK.
