Workflow Description

The system sends a workflow message to an approver when the user enters the Sustainability activity records through the Standard Voucher Entry (P0411), Voucher Match (P4314), or the Sustainability Activity Ledger (P20S11) program when the resource quantity (DETERQTY) exceeds the respective threshold value. When the workflow is triggered, the approval status (APPFLAG0) remains at a status of I (In Progress) and the user cannot modify the Sustainability activity records until the approver approves or rejects the workflow. If the approver approves the workflow, the system changes the approval status of the activity transaction to A (Approved), and if rejected, the approval status of activity transaction changes to R (Rejected).

Workflow Trigger

A user creates a Sustainability activity using the version of Standard Voucher Entry (P0411), Voucher Match (P4314), or the Sustainability Activity Ledger (P20S11) program that has the Approval Workflow processing option set to 1 in the Sustainability Framework MBF (P20S12). The system selects the approver based on the values specified in the Parent Address Number and Structure Type processing options of the Sustainability Framework MBF.

Workflow Action

The approver of the Sustainability activity record receives in the Work Center either an email or a message, or both, with the sustainability activity information along with the shortcut link to an interactive application to approve or reject the activity record. When the approver clicks this link, the system displays the Workflow Approval form. The approver reviews the activity information and either approves or rejects it. To review the details about the records, the user can click on the hyperlink, which opens the Sustainability Activity Ledger program. When the approver takes an action, the system updates the status flag to A, if approved, or R, if rejected, and sends an acknowledgement via either email or the Work Center, or both, to the originator on the updated status of the activity record.
