Understanding Sales Order Credit and Debit Note Information
Use the sales order process to create a credit note or debit note that references the original nota fiscal. Use debit notes when the tax amount must be increased. Use credit notes when the tax amount must be decreased. Set the credit and debit note processing option in P4210BR to display the credit and debit note controls in the Brazil sales order forms.
To enter sales order debit note information:
- From the Enter Nota Fiscal Credit/Debit Note menu (G76B4214), access the Nota Fiscal Debit Note program.
- Search for the original transaction by sales order number or Nota Fiscal reference.
- Select the required original Nota Fiscal or sales order line.
- Copy the selected line to the debit note transaction. You can retain only the required lines, and remove all other lines, such as tax lines.
- Adjust the quantity, unit price, or both, as needed.
- Review the Brazil header and detail information.
- Verify that the following fields are populated:
- Transaction Nature
- Transaction Suffix
- Credit/Debit Note Type
- Credit/Debit Purpose Code
- Save the order.Note: When a Debit Note is created from a Sales Order that uses a Nota Fiscal, specific lines from the original document are linked.
The original Sales Order details (Number, Type, and Line Number) are populated in OORN, OCTO, and OGNO.
The original Nota Fiscal details (Number and Series, and Type) are stored in ODOC and ODCT.
- Run the required downstream processes in this order:
- Ship Confirmation (P4205)
- Generate Nota Fiscal (R76558B)
- Review the Nota Fiscal in Stand Alone Nota Fiscal (P7610B)
- Add Tax Lines to Sales Order Detail (R76B803)
- Sales Update (R42800)
To enter sales order credit note information:
- From the Enter Nota Fiscal Credit/Debit Note menu (G76B4214), access the Enter Nota Fiscal Credit Note program.
- Click Add.
- On the detail form, select Form, then Credit Memo.
- Search for the original Nota Fiscal.
- Select the required original Nota Fiscal or sales order line.
- Adjust the quantity, unit price, or both, as needed.
- Review the Brazil header and detail information.
- Verify that the following fields are populated:
- Transaction Nature
- Transaction Suffix
- Credit/Debit Note Type
- Credit/Debit Purpose Code
- Save the order.Note: Use the Credit Memo cycle for Credit Notes to link specific lines from the original document: The original Sales Order details (Number, Type, and Line Number) are populated in OORN, OCTO, and OGNO. The original Nota Fiscal details (Number and Series, and Type) are stored in ODOC and ODCT. The original Sales Order number is preserved in the RORN column within the F42199 table.
- Run the required downstream processes in this order:
- Ship Confirmation (P4205)
- Generate Nota Fiscal (R76558B)
- Review the Nota Fiscal in Stand Alone Nota Fiscal (P7610B)
- Add Tax Lines to Sales Order Detail (R76B803)
- Sales Update (R42800)
To enter a stand-alone credit or debit Nota Fiscal from an existing Nota Fiscal:
- From the Enter Nota Fiscal Credit/Debit Note menu (G76B4214), access the Nota Fiscal Credit/Debit Note Revisions program.
- Search for the original Nota Fiscal.
- Select the required original Nota Fiscal.
- Click Copy.
- Adjust the quantity, unit price, taxes, or a combination of these values, as needed.
- Select Form, then Update Purpose Code.
- The system displays the list of allowed credit or debit note types and purpose codes.
- Verify that the following fields are populated:
- Transaction Nature
- Transaction Suffix
- Credit/Debit Note Type
- Credit/Debit Purpose Code
- Save the Nota Fiscal.
When you change the quantity, unit price, or both for a credit or debit note line, the system prorates the copied tax amount based on the revised line amount or quantity.
To enter a stand-alone credit or debit Nota Fiscal without copying information from an existing Nota Fiscal;
- From the Enter Nota Fiscal Credit/Debit Note menu (G76B4321), access the Stand Alone Nota Fiscal - Credit/Debit Note program.
- Click Add.
- Enter the required fields.
- Adjust the quantity, unit price, taxes, or a combination of these values, as needed.
- Select Form, then Update Purpose Code.
- The system displays the list of allowed credit or debit note types and purpose codes.
- Verify that the following fields are populated:
- Transaction Nature
- Transaction Suffix
- Credit/Debit Note Type
- Credit/Debit Purpose Code
- Save the Nota Fiscal.
When a credit or debit note references an original Nota Fiscal, the system retains the tax rates from the original Nota Fiscal.
If the original Nota Fiscal exists, the system retains the CST and Class Trib values from the original transaction.
To override the CST and Class Trib values, create the debit note or credit note as a new sales order.
