Understanding Layout Versions

You create layout versions to use when you generate a data sample for a statement definition. The system passes the data sample to the BI Publisher Layout Editor (Layout Editor) so that you can design your financial statement layouts. Because you need only a limited set of data to work with when designing financial statement layouts, Oracle recommends that you create layout versions with a limited data set to pass to the Layout Editor. The limited data set creates a limited data sample, which is faster to generate and easier to work with in the Layout Editor than a data sample that encompasses a large data set.

To create a limited data set, you can associate data selection with the layout version. You need to pass to the Layout Editor sample data that includes data for all of the accounts that you need to include in your financial statement. However, you do not need to pass in data for every situation in which the accounts are used. For example, suppose that you need to create a balance sheet statement for your entire organization, which consists of 20 business units. The data sample that you create to pass to the Layout Editor needs to include your asset, liability, and shareholder equity accounts, but it does not need to include all 20 business units. You could associate data selection with the layout version that includes one business unit only.

You use the Statement Versions program (P09340) to create layout versions. You can access the program from the Manage Layouts option in the Statement Definitions program (P09330) or from a menu option. If you access the Statement Versions program from the Manage Layouts option in the Statement Definitions program, you can create the layout version and then immediately generate the data sample that the system passes to the Layout Editor. You can then design layouts for the financial statement. If you access the Statement Versions program from an access point other than the Manage Layouts option, you will need to save the layout version and then access the Statement Definitions program to generate the data sample and access the Layout Editor.

You can create multiple layout versions for a statement definition. If you access the Manage Layouts - Revise Layout Version form to work with layout versions and have already created layout versions for the statement definition, the layout version that you most recently created appears in the Layout Version field. You can:

  • Generate a data sample using the layout version in the field.

  • Access the search and select form to select a different version, if other versions exist.

  • Use the Create Version option to access the Statement Versions program to create a new version.

Note: To edit an existing layout version, you must access the version from the Statement Versions program. You cannot edit an existing version when you access the version from the Manage Layouts program.
