This 25-minute tutorial shows you how to manage the Joint Venture Account Ledger.

Scenario

After the joint venture transactions are loaded into the Joint Venture Management system and DOIs are assigned to the transactions, you will review and manage the account ledger DOI and direct bill partner assignments within the Joint Venture Account Ledger. You determine that changes must be made for telephone, maintenance, and rental expenses. After reviewing the Joint Venture Account Ledger, you will assign the telephone expense directly to the insider business unit. You also find that the maintenance expense should not be included as a distributable expense, and therefore, you will delete the maintenance expense from the Joint Venture Account Ledger. There is a discrepancy with the rental expense and you will put these transactions on hold so they are not distributed prior to fixing the discrepancy.

What Do You Need?

  • The joint venture transactions are loaded into the system.
  • The DOIs have been assigned to the joint venture transactions.

section 1Reassigning Expenses Directly to the Insider Business Unit

In this task, you will review telephone expenses loaded in the Joint Venture Account Ledger for the joint venture A-GREENACREHOLDINGS. A DOI was assigned to the expenses. You will reassign the telephone expenses directly to the insider business unit.

  1. Navigate to EnterpriseOne Menus, Financials, Joint Venture Management (G09J), Daily Processing, JV Account Ledger Revisions (P09J11).
  2. Filter records for telephone expense using the values in the table below:

  3. Select the telephone expense records as shown in the graphic below.

  4. Navigate to the Row menu and click Update Selected.

    In this tutorial, you are using the Update Selected mass update feature to reassign account ledger transactions (telephone expenses) directly to the insider business unit 981. These transactions were originally assigned to the DOI, GREENACREHDOI.

    Note: The Update Selected feature enables you to accomplish the following:

    • Assign a Division Of Interest(DOI) to selected account ledger records.
    • Assign an outside or inside partner to selected account ledger records.
    • Update the Transaction Status to a given status for selected account ledger records.
    • Clear the existing assignments to reassign values.
    • Reset the values to the original values.

      Your Update Selected form should look like this:

  5. Click Update.
  6. Click Yes on the Confirm Update window.

    The system updates the selected records with the new values. Your updated account ledger records should look like this:

section 2Deleting an Expense from the Joint Venture Account Ledger

In this task, you will review a maintenance expense in the Joint Venture Account Ledger. You decided that the maintenance expense should not be a distributable expense and therefore, you will delete the expense.

  1. Navigate to EnterpriseOne Menus, Financials, Joint Venture Management (G09J), Daily Processing, JV Account Ledger Revisions (P09J11).
  2. Filter records for material expense using the values in the table below:

  3. Select the material expense record as shown in the graphic below.

  4. Click Delete to delete the record.
  5. The Equipment Depreciation account loaded into the Joint Venture Account Ledger will be removed.

    Note that additional joint venture transactions can be reloaded into the Joint Venture Account Ledger by running the Load Joint Venture Account Ledger program (R09J400).

  6. Review the warning message and click OK to proceed.

  7. Verify that the joint venture account ledger record has been deleted as shown in the graphic below.

  8. You can access the Joint Venture Distributable Accounts program (P09J01) and mark the account as not distributable for future periods.

section 3Putting Expenses On Hold in the Joint Venture Account Ledger

In this task, you will review rental expense records in the Joint Venture Account Ledger and you will put the transactions on hold because you found a discrepancy with the expense.

  1. Navigate to EnterpriseOne Menus, Financials, Joint Venture Management (G09J), Daily Processing, JV Account Ledger Revisions (P09J11).
  2. Filter records for rent expense using the values in the table below:

  3. Your Joint Venture Account Ledger Revisions form should look like this:

  4. For each rent expense row, set the Transaction Status to On Hold.
