Understanding ATP Data Load
Use File Parser to load ATP secondary school data into the ATP suspense tables.
The ATP Load External Data process (CCATPLOD.SQR) is deprecated.
The File Parser setup supports the 2024 secondary school file format. If the source file format changes, you can copy and modify the File Parser definitions to meet your institution's requirements. If you load college data, create and maintain File Parser definitions based on the file format provided to your institution.
The ATP suspense tables hold records that have not yet been posted to the organization tables. School data from these tables migrates to your database during posting based on the options that you select on the ATP Search Parameters and ATP Post Parameters pages.
You can review data in the ATP suspense tables after loading it, after performing Search/Match, or after posting it. You can determine whether a record is waiting to be processed, whether a record was added or updated, and whether errors were encountered.
The updated secondary school file supports school names and address values that can be longer than the corresponding Campus Solutions fields. The File Parser mapping loads the characters that fit in the target ATP suspense fields. The full school name, up to 50 characters, is loaded into the Description field and is also used to calculate the Search Name.
After loading the ATP data, run the ATP Search/Match process to check for matching organization records before posting the data. Each ATP suspense record has a Change Code value of Add, Change, or Delete. Add creates a new organization record, Change updates an existing organization, and Delete causes the existing organization to be made inactive during posting.
After reviewing the ATP data and selecting the Search/Match parameters, run the ATP Search/Match/Post process to post the data. You can process and post a single record or all eligible records in the suspense tables.
You can remove records from the ATP suspense tables by running the ATP Purge Suspense File process.

Loading ATP School Data Using File Parser
Copy and modify these File Parser definitions to meet your institution's requirements.
This File Parser setup supports the 2024 secondary school file format and loads secondary school data into the ATP suspense tables. If the source file format changes, you can modify these definitions to meet your requirements.
These are the elements included in the setup:
| Setup | Value |
|---|---|
| Context Definition | ATP Schools |
| Context Definition ID | 200 |
| Staging Record | ATP_SUSPN |
| Field Conversion Definition | ATP Organization Load |
| Field Conversion Definition ID | 200 |
| File Mapping Definition | ATP SCHOOLS |
| File Mapping Definition ID | 200 |
| File Type | Flat |
The ATP Organization Load conversion definition converts the country, change code, and school type values from the external file to Campus Solutions values.
This file mapping:
- Loads the school code into the ATP Code field.
- Loads the first 30 characters of the school name into ATP Name.
- Loads the first 10 characters of the school name into Short Description.
- Loads up to 50 characters of the school name into Description.
- Calculates Search Name from Description.
- Converts the two-character country code in the file to the corresponding Campus Solutions country code.
- Loads address values up to the maximum lengths supported by the ATP suspense record.
- Loads the Change Date from the eight-character MMDDYYYY value in the source file.
- Converts the source file change codes for use by ATP Search/Match/Post processing.
The secondary school file contains separate fields for a US ZIP code and an international postal code. The mapping populates the Postal Code field from the US ZIP code.
Run the File Parser process using the delivered ATP SCHOOLS file mapping definition.
For general information about running File Parser, see Running the File Parser Process.
Loading ATP College Data Using File Parser
If your institution loads college data, use the ATP Schools definitions as a template and create File Parser definitions that match the college file supplied to your institution.
Create a context definition that uses the ATP_SUSPN staging record. You can use the school data country conversion definition. Define the appropriate change code, proprietorship, and school type conversions for the values in the college file, and create a file mapping definition that matches the file layout.
File Parser doesn't automatically add leading zeros to a four- or five-character college code. If you want college ATP codes to use a six-character format, add the leading zeros to the source data before running File Parser or update the ATP Code value in the suspense record before running ATP Search/Match/Post.
Reviewing Suspense Process Options Data
Access the ATP Suspense Process Options page ().
When searching for records, you can use Change Code to locate Delete records and review them before posting. If you don't want a Delete record to be processed, you can set its post processing option to Take No Action.
Note:
For secondary school records loaded using the File Parser setup, Edit defaults to Complete, Search defaults to Perform, and Post defaults to Wait Search. These values can be updated in the Context Definition setup.Processing Options
Values for the Edit, Search, and Post fields are delivered preset with Campus Solutions (CS).
WARNING:
You can manually edit the values in the Edit, Search, and Post fields; however, if any of these fields shows a status of Error and you manually change the status without correcting the error, you might have problems when posting the data.
| Field or Control | Description |
|---|---|
|
Edit |
The status of the record as the result of the load external data process. Complete: The program was able to process this record without a problem. Error: The program encountered problems when processing this record. Perform: This value is only set manually and is for informational purposes. |
|
Search |
The status of the record as the result of the Search/Match process: Complete: The Search/Match process ran without errors. Error: The Search/Match process ran and errors were detected in this record. Perform: The Search/Match process was not yet run for this record or the Search/Match process is set so that the record will be re-selected. |
|
Post |
The status of the record as the result of the post process. These values can be entered manually; however, some are entered by the after processes are run, as described below: Delete ID: CS encountered an indication that the organization was deleted from the tape. Set by CS during the Search/Match process if it is unable to add data to a deleted organization. Can also be set manually. Error: The Post process encountered a problem. Set by CS during the Post process. New ID Add: CS was unable to find a match in the database and will add a record with a new ID when the Post process is run, provided that CS finds no matches and an ATP change code of Add. Set by CS during the Search/Match process if no match is found and a new one is added. No Action: This value is only added manually. It is not automatically entered by CS. If this value is entered, the Post and Purge processes ignore the record. Set manually. Purge: This value indicates that this suspense record is removed from CS during the Purge process. Set by CS during the Post process if the record is successfully processed. Update ID: CS found a matching ID in the database. This existing ID record is updated with the data from this ATP record during the Post process. Set by CS during the Search/Match process if a match is found in the database. Wait Search: This record is in the Suspense Table and is waiting to be processed by the Search/Match process. Set by CS during the ATP Load External Data process. |
Error Indicators
When the Error indicator appears in the Edit field in the Processing Options group box, the Error Indicators group box identifies the type of error.
Note:
Correct errors on the appropriate page before running the Post process. When you make and save the correction, CS updates the Processing Options group box fields accordingly. For example, if the Edit field value is Error and you fix the errors in the file so that CS now recognizes the data, when you save the change, CS changes the Edit field to Complete. You should always save before changing any of the processing options so that you can review the results of any data changes.
| Field or Control | Description |
|---|---|
|
Name Error |
When selected, indicates that CS could not recognize the name data. |
|
Foreign Address Error |
When selected, indicates that CS could not recognize the address data or that the country of the address is not in the database. |

Process Single Record |
Select to set the specified process to run only on one record. You must specify the ATP record number for the school that Campus Solutions (CS) posts. |
When the Post process creates or updates an External Organization record, it uses the Description value for the organization's 50-character description. If Description is blank, CS uses ATP Name. If Change Date is blank, CS uses the current date as the effective date of the External Organization record. For a US postal code containing nine digits without a hyphen, the Post process inserts a hyphen between the fifth and sixth digits when it creates or updates the Organization Location record. When a Delete record is successfully posted, CS creates an inactive effective-dated row for the existing organization. The organization record isn't physically deleted.
When you click Run and schedule the process, the PeopleSoft Process Scheduler runs the CCATPPST.SQR process and posts the ATP data.
