Understanding the Archive Process

PeopleSoft allows you to define archive objects and queries to identify eligible invoices for archiving, based on business rules such as invoice finalization status, completion of invoice printing, and integration with applications such as General Ledger, Receivables, Payables, Project Costing, Contracts, and Order Management. The system allows you to select specific billing data for archive and rollback operations.

The process is managed through configurable archive templates (such as BI001), which map transaction tables to their archival counterparts while retaining data accessibility for auditing and reporting. You can run queries to select and verify data prior to archiving, and the archived records remain available through history tables in Query Manager. Additional features include clear distinctions between removing data from history tables and deleting from main tables, and support for rollback operations based on archive identifiers.

Overall, this feature streamlines the management of billing data, supporting improved system efficiency and compliance with audit requirements, while allowing flexibility for business-specific configurations in the archiving and retrieval processes.
