Managing Users
Use the Manage Users tab to create, modify, and delete external users. You can also export and import user details.
Service Administrators and users with the Access Control - Manage granular role can modify user details, add users to teams, export user details, create external users, modify external users, and delete external users. Users with the Access Control - View granular role can only view user details.
You can customize the columns displayed by clicking the Customize Columns icon.
Note:
The Manage Users tab displays a maximum of 5000 rows in a page. If there are more than 5000 rows, use filters to narrow down the list and display only the users that you require.Adding External Users
External users are users who are not provisioned in the system but are created in Account Reconciliation only. External users can be used in the Notification Assignee role when creating alerts and they can be added as viewers in alerts.
To add an external user:
- From Home, select Tools, and then Access Control.
- Select the Manage Users tab.
- Click the Create icon to display the Create User panel.
- Enter the following details for the external user:
- First Name
- Last Name
- Language
- Timezone
- Click Save.
Editing External Users
- From Home, select Tools, and then Access Control.
- Select the Manage Users tab.
- Select the external user to be modified and click the Edit icon.
- In the Edit User panel, make the required modifications. You can change the First Name Last Name, Language, and Timezone.
- Click Save.
Delete External Users
- From Home, select Tools, and then Access Control.
- Select the Manage Users tab.
- Select the external user to be modified and click the Delete icon.
- In the Delete Confirmation dialog, click Delete.
Exporting and Importing User Details
User details for external users can be exported to a .csv file by
clicking Export and then selecting Export
All or Export for Import. The Export
All option exports all IDs, including external and provisioned. The
Export for Import option exports only external users and that
export file can then be used as input for the Import option.
The exported file uses a time zone code for the user Timezone and a language code for the user Language. See Codes for Language Setting in the Export File.
To import user details, click Import and then select the file that contains user details to be imported.
Filter the Displayed User Details
You can filter the displayed user details by using Last Login, Preparer, Reviewer, Role, and Status. For example, click Status, and then select Available or Unavailable to filter the displayed users based on this status.
Codes for Language Setting in the Export File
When user details are exported to a .csv file, this file contains a
language code for the user's language setting. The following table provides the
language code that corresponds to each language.
