Working with Approval Units in Forms

You can perform approval unit actions from within forms.

You can review approval data and perform approval unit actions when working in a form grid, without needing to navigate separately to the Approvals page. You can view approval unit information such as Status, Owner, Previous Owner, Last Action Taken and Total Values on forms. You can perform actions on approval units based on the approval unit status and your security access.

These approval actions are available from forms:

  • Change Status of an approval unit, such as Promote or Reject

  • Change approval unit owner if needed

  • Add comments in the annotation area

  • View annotations and status history

To perform approval unit actions from a form:

  1. Open an approvals form.

    You must have security access to the approval units to perform actions on the form.

  2. Select the row for an approval unit, right-click and select the Approvals option.

    The context menu displays all the available options for the approval unit, such as Promote, Approve or Sign Off. Available actions depend on the approval unit that you selected, and the status of the approval unit.

  3. Select an approval unit action.

  4. Update the approval unit information as needed. For example, if you select Take Ownership, select an Owner, and optionally enter an annotation for the action.

  5. Click Change Status.

    After you perform an approval action through the context menu, the form grid is automatically refreshed to reflect the change in status.
