Complete the Workflow Steps

You can complete the workflow steps as you move through an activity—you can open the steps, collect data, and submit the steps. You have to complete the steps in the order enforced by the configuration of a workflow; the conditions of the steps influence when the steps become available or completed.

The workflow panel displays the steps that match the configured conditions:
  • An available step shows with a circle icon. Tap this icon and the page where you must enter data is displayed.
  • A completed step shows with a green tick inside the circle. Completed steps are shown as part of the workflows.
  • Sometimes, some completed steps may not be available for modification. Such steps are displayed with a green tick and the step name is disabled. You can only see this step, but cannot click it.
  • A step that is not completed and doesn’t match the configured conditions does not appear on the workflow panel.

The workflow panel shows your custom themes, if any. The color depends on the color you have selected as the background for the header. For dark themes, the panel is displayed in the default color, and for light themes, the background of panel is white.

Workflow for Activities in Final Statuses

The workflow remains displayed for activities in the final statuses, such as Completed and Not Done. There is no difference in the visualization of the workflow panel or the steps for activities in these statuses. Availability of steps here is determined by the way the step is configured.

Positioning of Steps

The positioning of steps within the workflow panel is as follows:
  • The first available not completed step is always visible.
  • The completed step preceding the first available not completed step also is visible, if there is one.
  • When all the steps are completed, the position points to the last step of the workflow.
  • The application recognizes any connections to steps that aren't visible and demonstrates that there are more steps in the workflow, than what's displayed on the panel. When you navigate to the activity, the page automatically scrolls to the next available workflow step to make it easy to distinguish.

Can other resources complete the steps for you?

Yes, in these ways:
  • Dispatchers and managers can complete the steps through the user interface.
  • API calls or message scenarios can complete the steps in the background. This works for steps where the Show completed when conditions are based on field and custom property values.
