Generating or Sharing PDF Files
Oracle Fusion Field Service supports the generation of printable PDF files directly from submitted forms. These files can be used to document work performed, provide records to customers, or support audits related to assets and services. You can generate, print, and share these files through both mobile apps and browser versions.
You can print or share PDF files from the Activity details, Inventory details, or the Form Submitted page. PDF files are generated automatically or on demand based on form configuration. Your administrator might enable one of the following options:
- Generate and upload PDF to Fusion work order
- Generate and upload PDF to OCI Object Storage
- Generate PDF for printing and sharing on-demand
If none of these are enabled, PDF files will not be created for that form.
If your form is set to automatically generate PDFs:
- Open the assigned activity using the iOS or Android app.
- Fill out and submit the form.
- A PDF file is automatically generated and uploaded to one of the following as
configured:
- Associated Fusion work order
- Oracle Cloud Infrastructure (OCI) Object Storage
Note: Automatic upload is only supported in the iOS and Android apps.
If the form is configured for on-demand generation:
- Open the Forms History page or navigate to a submitted form.
- Click Print or Share to generate
the PDF.
- Generates a PDF without uploading it to any storage location.
- To print, connect your device to a local printer. The print option is supported in all platforms: iOS, Android, and browser.
- To share, use email or other supported options in your device’s share menu. The share option is supported only in mobile platforms.
- If offline, a message will notify you that PDFs can't be downloaded or prepared at that moment.
The PDF files uploaded to Fusion are linked to the associated Service Work Order or Maintenance Work Order.
You can find the PDF files uploaded to OCI Object Storage using the pattern: [Work Order Identifier]/[Form Name].
For example, if WO Number is WO12345 and the form is Inspection, search for WO12345/Inspection.
Use the Searching for Object Storage Objects in a Bucket function to find files.
- Ensure a stable internet connection if the form is configured to upload the PDF.
- Use the Forms History page to access previously submitted forms and generate or download PDFs.
- If offline, on-demand PDF generation will still work, but downloading stored files won’t be possible.
- Review PDFs before printing to ensure all data is correctly displayed and fits on the page.
- For PDF configuration, HTML templates, or uploading files to Fusion or OCI storage, contact your administrator.
PDF File Naming Convention
- Form name (no spaces or special characters)
- Mobile worker's name (no spaces or special characters)
- Submission date and time
- Unique numeric ID
Only Latin letters (a-z, A-Z), digits (0-9), hyphens ( - ), and underscores ( _ ) are allowed in file names.
