Adaptive Intelligence Implementation Workflow

Follow these high-level steps to get started with adaptive intelligence for Financials. Refer to the sections in this chapter to get more detailed implementation instructions where you need them.

Have the email handy that you received from your Oracle representative after ordering and activating the service. The email contains tenant-specific values you will need for the setup steps.

Step 1: Create users and assign roles

Create the users and roles in Oracle Financials Cloud to enable communication and data exchange for adaptive intelligence and monitor the data extracts in Oracle BI Publisher. Create the user to access the administrator tasks in Oracle Adaptive Intelligent Financials.

Step 2: Opt in for adaptive intelligence

In the Setup and Maintenance work area of Oracle Financials Cloud, enable the Early Payment Offers feature.

Step 3: Set up adaptive intelligence

On the Connections page in Oracle Adaptive Intelligent Apps for ERP, make the connections for your integrations. On the Settings page, choose your preferred conversion currency and the APR threshold for recommendations.

Create Users and Assign Roles

Roles for Adaptive Intelligence

After you activate your service and create your account, you can manage users and assign them to specific roles. The roles determine which tasks users can perform in the application.

This table describes the roles that you can assign and the privileges associated with them.

Role Privileges Description

Adaptive Intelligent ERP Payables Discounts Read Only

  • View early payment discounts

Views supplier categorizations and supplier details, such as early payment discount enrollments.

Adaptive Intelligent ERP Payables Discounts Manager

  • Manage early payment discounts

Manages user tasks, such as identifying and enrolling suppliers into early payment programs.

Adaptive Intelligent ERP Payables Administrator

  • Manage connections

  • Manage early payment discounts

  • Manage settings

Manages all activities related to the administration of Adaptive Intelligent Apps for ERP, such as setting up connections and business policies.

Create AI Application Users

Users who can sign in to Oracle Adaptive Intelligent Apps for ERP must have the appropriate roles for the tasks they want to perform. For initial setup and ongoing management of connections and supervisory controls, the required role is Adaptive Intelligent ERP Payables Administrator.

Follow these steps to create a payables administrator user with the required privileges. You will use this user later during setup.
  1. Sign in to your Oracle Cloud account using the credentials for your ERP service.

  2. Customize your dashboard to show your services:

    1. On the Dashboard page for Oracle Cloud, click the Customize Dashboard icon.

    2. In the Customize Dashboard window, click Show for both of these services:

      • AI Apps

      • Identity Cloud

  3. Create the payables administrator user:

    1. In the Identity Cloud section, click the Action Menu icon, and then click Open Identity Console > View Details.

    2. For your Oracle Cloud Service instance, click Open Service Console.

    3. On the Users page, click Add.

    4. Enter the required details, and then click Finish.

  4. Assign the new user to the admin role:

    1. In the navigation menu, click Oracle Cloud Services.

    2. On the Oracle Cloud Services page, click AI Apps.

    3. On the Application Roles tab, in the row for Adaptive Intelligent ERP Payables Administrator, click the menu and select Assign Users.

    4. Search for and select the financial administrator user you created, and then click OK.

  5. Optionally, you can also repeat similar steps to add other users with either of these roles to access the application:

    • Adaptive Intelligent ERP Payables Discounts Manager

    • Adaptive Intelligent ERP Payables Discounts Read Only

    Note: Each new user will need to respond to their welcome email to reset their password.

  6. Follow the email instructions to reset the payables administrator user password.

    Make a note of the user name and password. You will need these values later when performing administration tasks in Adaptive Intelligent Apps for ERP.

Create the Business Intelligence User and Role

The AIAPPS_BIP_ROLE role is required in Oracle Business Intelligence (BI) to extract values from Oracle Financials Cloud and train machine-learning models for adaptive intelligence. It's best practice to create a dedicated user, however, you may prefer to create and add this role to an existing user.

  1. Connect to the Oracle Financials Cloud as a user with the IT Security Manager role.

  2. In the Navigator menu, under Tools, click Security Console. You may need to click More to expose the Tools options.

  3. Create the AIAPPS_BIP_ROLE:

    1. On the Roles page, click Create Role.

    2. Enter these values:

      AIAPPS_BIP_ROLE

      Role Category

      BI - Abstract Roles

    3. Click Next three times.

    4. On the Role Hierarchy stop, click Add Role.

    5. In the Add Role Membership window, search for and select BIAuthor, then click Add Role Membership.

    6. Search for and select BIPDataModelDeveloper, then click Add Role Membership.

    7. Click Cancel to close the window.

    8. Click Next two times.

    9. Click Save and Close, and then click OK.

  4. Create a user account named AIAPPS_BIP with the AIAPPS_BIP_ROLE role:

    1. Click Users.

    2. On the User Accounts page, click Add User Account.

    3. In the User Information section, enter values for all of the required fields.

    4. Rename the User Name value to AIAPPS_BIP.

    5. Click Add Role.

    6. In the Add Role Membership window, search for and select AIAPPS_BIP_ROLE, then click Add Role Membership.

    7. Click Done to close the window.

    8. Click Save and Close.

  5. Schedule a process to import the user and role security data as follows:

    1. From the Navigator menu, in the Tools section, select Scheduled Processes.

      You may need to click More to expose the Tools options.

    2. Click Schedule New Process and select the values shown here:

    3. Click OK.

    4. In the Process Details window, click Submit.

    5. Make a note of the process ID, and then click OK.

    6. Click Refresh until the status of the process ID you noted shows as succeeded.

Create the AI Integration User and Role

The integration between Oracle Financials Cloud and Oracle Adaptive Intelligent Apps for ERP requires that a specific user and its associated roles exist. This user and its roles provide the required privileges to connect to the Oracle Financials Cloud REST endpoint.

To create the user and role in Oracle Financials Cloud:
  1. Connect to Oracle Financials Cloud as a user with the IT SecurityManager role.

  2. In the Navigator menu, under Tools, click Security Console. You may need to click More to expose the Tools options.

  3. Create the AIA_FIN_DISCOUNTS role:

    1. Click Create Role.

    2. Enter these values:

      AIA_FIN_DISCOUNTS

      Role Code

      AIA_FIN_DISCOUNTS

      Role Category

      Financials - Job Roles

    3. Click Next.

    4. On the Privileges tab, click Add Function Security Policy.

    5. In the Add Role Membership window, search for and select AP_MANAGE_BUYER_DISCOUNT_OFFERS_PRIV, then click Add Privilege to Role.

    6. Click Cancel to close the window.

    7. Click Next four times.

    8. Click Save and Close, and then click OK.

  4. Create the user account named AIA_INTEGRATION:

    1. Click Users.

    2. On the User Accounts page, click Add User Account.

    3. In the User Information section, enter values for all of the required fields

    4. Rename the User Name value to AIA_INTEGRATION.

  5. Add roles to the AIA INTEGRATION user:

    1. Click Add Role.

    2. Search for and select AIA_FIN_DISCOUNTS, then click Add Role Membership.

      This role is to access the REST API for standing offers.

    3. Search for and select ORA_PER_EMPLOYEE_ABSTRACT, then click Add Role Membership.

      This role is to access the Adaptive Intelligent Apps for ERP settings pages.

    4. Click Done to close the window.

    5. Click Save and Close.

  6. Schedule a process to import the user and role security data as follows:

    1. From the Navigator menu, in the Tools section, select Scheduled Processes.

      You may need to click More to expose the Tools options.

    2. Click Schedule New Process and enter these values:

    3. Click OK, and then click Submit.

    4. Make a note of the process ID, and then click OK.

    5. Click Refresh until the status of the process ID you noted shows as succeeded.

Opt In for Early Payment Discount Offers

In the Setup and Maintenance work area, enable the early payment offers feature.

  1. Log in to Oracle Financials Cloud as a user with the Application Implementation Consultant role.

  2. On the Navigation menu, select Setup and Maintenance.

    You may need to click Others to expose the Setup and Maintenance option.

  3. On the Setup list, select Financials.

  4. Click Change Feature Opt In.

  5. If not already expanded, expand Financials, and then expand Supplier Invoice Processing.

  6. Select the Payables row, and then click the Features edit icon.

  7. Ensure that the feature named Early Payment Offers is enabled, then click the Features edit icon in that row.

  8. In the Early Payment Offers feature dialog box, select both options (Standing Offers and Dynamic Offers).

  9. Click Save and Close, and then click Done.

  10. Click Done again to return to the Financials setup page.

Set Up Adaptive Intelligence

Connect AI Apps to Financials Cloud

To use standing offers for early payment discounts to suppliers based on adaptive intelligence and settings that you specify, you must connect using the appropriate credentials.

  1. Sign in to Oracle Adaptive Intelligent Apps for ERP as a user with the Payables Administrator role.

  2. Click Connections.

  3. In the Oracle Financials Cloud section, click Edit.

  4. Enter these values:

    Field Value

    User Name

    The user name you created for the integration user. For example AIA_INTEGRATION.

    Password

    The password associated with that user name.

    Note: If you change the password later, you must also update it here. The passwords must match.

    URL

    The URL to your Oracle Financials Cloud instance. For example, https://<fusion-instance>.oraclecloud.com.

  5. Click Save.

Connect AI Apps to Business Intelligence

To exchange data with Oracle BI Publisher, you must connect using the appropriate credentials.

  1. Sign in to Oracle Adaptive Intelligent Apps for ERP as a user with the Payables Administrator role.

  2. Click Connections.

  3. In the Oracle Business Intelligence section, click Edit.

  4. Enter these values:

    Field Value

    User Name

    The user name you created for the Business Intelligence user. For example AIAPPS_BIP.

    Password

    The password associated with that user name.

    Note: If you change the password later, you must also update it here. The passwords must match.

    URL

    The URL to your Oracle Financials Cloud instance. For example, https://<fusion-instance>.oraclecloud.com.

  5. Click Save.

Set the Conversion Currency

The application uses the reporting currency to display monetary values in a single currency. Values in a different currency than the reporting currency are converted using the conversion rate type you select. This conversion is for display purposes only. No accounting values are changed or saved based on these settings, but they're required for viewing purposes.

Before you set the default conversion currency, ensure that you have already connected AI Apps to Oracle Business Intelligence and that data ingestion is complete.
  1. Sign in to Oracle Adaptive Intelligent Apps for ERP as a user with the Payables Administrator role.

  2. Click Settings.

  3. Select the reporting currency to use by default for display purposes.

  4. Select your preferred conversion rate type.

  5. Click Save.

Set the APR Range for Recommendations

The adaptive intelligence model uses the APR range you specify on the Settings page when calculating early payment discounts offered to enrolled suppliers. The range you specify also controls the APR range on a supplier page that helps users analyze supplier discount opportunities for early payment discounts offered to enrolled suppliers.

The APR that the adaptive intelligence model recommends should reflect the business goals of your buying organization. These goals, for example, can include your expected return rate on working capital as a floor and can also provide control over a ceiling rate to constrain the recommendations. The Discounts Threshold Percentage range should reflect your organization's minimum expected return and maximum discount allowed to establish your business goals through adaptive intelligence models for APR recommendations. By default, the range is set as 0% to 100%. It should be a priority to establish a range that is appropriate for your organization. As a guideline, a typical industry benchmark for APR ranges would be 8% as a minimum value and 50% as a maximum value, delivering discount ranges from .2% to 12.5% based on days paid early.

Before you set the APR range, ensure that you have completed the steps to set conversion currency.
  1. Sign in to Oracle Adaptive Intelligent Apps for ERP as a user with the Payables Administrator role.

  2. Click Settings.

  3. Enter the desired minimum and maximum values for the APR range.

  4. Click Save.
