Schedule the Import Payables Invoices Process

Schedule the import process to run as a background process to control when business imports invoices and to ensure that the parameters are correct.

It is recommended to schedule the import to run once or twice per day for your IDR invoices.

Note: The standard Payables Import Report will no longer include invoices that are imported with a source of imaged. In order to get the status of imaged invoices that have imported, you will need to use the Image Invoice Tracking Report for import status.
  1. Go to Navigator > Payables > Invoices.

  2. Click the Tasks icon to open the panel tab.

  3. Click Import Invoices.

  4. Enter the Ledger, leave Business Unit blank, and select Invoice Image as the Source.

    Note: If you enter a Business Unit, the import process won’t import all the available invoices from the interface table based on security of the user scheduling the process. Leaving the field blank allows the import process to import all available invoices from the interface table with the missing key information. Users can correct it and enable the application to learn
  5. Click Advanced.

  6. Select the Schedule tab. Select Using a schedule and enter the frequency that best suits your business model and invoice volume.

  7. Click Submit to complete the scheduling.

Here are a few things to remember.

  • The application requires an end date so make sure it is far enough out.

  • In the test phase, to import the invoices immediately for testing, you can process immediately by selecting As soon as possible.

  • Leave business unit blank when running the import process. This ensures that the validation rules are set to allow the invoices to import with missing data.

  • Security settings prevent any invoices that aren't supposed to be imported by the scheduler or individual user. These invoices will remain in the interface file until they are imported by a user with proper credentials.
