Enter a Manual Billing Transaction

You must enter the billing transaction details to create a Receivables transaction for fiscal documents.

  1. From the Billing work area, navigate to the Create Transaction page.
  2. Select Invoice as the transaction class at the transaction header level.
  3. Select BRL - Brazilian Real as the currency because all fiscal documents must use Brazilian currency.
  4. Enter the customer bill -to and ship-to information as indicated in the fiscal document.
  5. Click the Miscellaneous tab.
  6. Select a legal entity or use the default for the business unit defined in Associated Business Entities.
    Note: Only the legal reporting units linked to this legal entity are available on the Update Fiscal Attributes page. It is the legal reporting unit issuing the fiscal document.
  7. Click the Invoice Lines region and enter the required transaction line information such as Item, Memo Line or Description, Quantity, and Unit Price.
  8. Click Save.
  9. Click the Miscellaneous tab.
    By default, the taxation country is Brazil.
  10. In the Manage Fiscal Document Generation Controls for Brazil task, you can define the fiscal document generation controls and defaults associated with a specific document fiscal classification. Select the corresponding document fiscal classification.
  11. Click the Invoice Lines region and enter the appropriate tax determinants for each transaction line.
  12. Select the transaction business category as the Operations Fiscal Code (CFOP). This information is required for goods and services transaction lines of mixed fiscal documents.
  13. You can implement fiscal classifications required for fiscal documents as product fiscal classifications. When you select an inventory item on the transaction line, the product fiscal classification defaults from the item category associated to that item.
    • For goods lines, select a NCM and EX-TIPI numeric code or use the default from the item configuration. This information is required for goods fiscal documents. As the taxation country is Brazil, the Product Fiscal Classification list displays only the product fiscal classification values associated with the primary inventory category set defined in Manage Country Default Controls for Brazil.
    • For service lines, select a service fiscal classification or use the default from the item configuration. This information is required for service fiscal documents. When there is a local service fiscal classification for the city, you can define both national and local service fiscal classification codes as different levels of product fiscal classifications.
  14. You can implement fiscal classifications required for fiscal documents as product categories, when the services are not configured as inventory items. Define each service fiscal classification code as a product category fiscal classification code. Select Product Category as the service fiscal classification for service lines.
    Note: When there is a local service fiscal classification for the city, both national and local service fiscal classification codes can be defined as different levels of the product category fiscal classification code.
  15. Select the product type as Goods or Services. This attribute is required for any fiscal document generation.
  16. Click Edit Freight.
  17. On the Edit Freight page, select Individual Transaction Lines in the Freight Level field.
  18. Click Add to add a transaction line.
  19. In the Transaction Line field, select the corresponding transaction line number.
  20. In the Freight Charge field, enter the freight charge amount.
  21. In the Insurance Charge field, enter the insurance charge amount.
  22. In the Miscellaneous Charge field, enter the miscellaneous charge amount.
  23. In the Commercial Discount field, enter the commercial discount amount.
  24. Repeat these steps for the other transaction lines.
  25. Click OK. These values are informed to the tax authority as a part of the fiscal document information.
  26. Click Save. The transaction taxes and withholding taxes are calculated according to the tax configuration.
  27. You can review the calculated taxes on the Detail Tax Lines page, and update the transactions taxes if necessary.
  28. From the Actions menu, click Request for Fiscal Document when the transaction is ready. This action triggers these validations:
    • Completion of standard invoke validations performed by Receivables.
    • Additional validations to check the fiscal document required information such as Product Type, Transaction Business Category (CFOP) for goods lines, Product Fiscal Classification for goods lines, Product Category or Product Fiscal Classification for service line.
  29. If the transaction passes both validations, the fiscal document status changes to Transaction Entered and you can no longer update the transaction. At a later stage, if a validation error is detected internally by the Generate Fiscal Document Number process, or externally by the tax authority, you can update the transaction. The fiscal document status is Validation Error or Errors respectively.
  30. On the Actions menu, click Update Fiscal Attributes to enter the fiscal attributes. Click Submit.
  31. Continue with the next steps of fiscal document flow to:
  32. Generate the fiscal document number and fiscal document key.
  33. Extract and send the fiscal document information to the partner.
  34. Process the tax authority return information.
  35. Automatically complete the invoice upon tax authority approval.
