Centralized Management of Chart of Accounts Configurations

A chart of accounts configuration has several elements, including the chart of accounts itself, and other setups framed by the chart of accounts. Define and maintain these configurations using a guided process to ensure your setup meets required standards.

The Manage Chart of Accounts Configurations task centralizes these elements and also provides efficient tools for loading account values and hierarchies.

Here's a summary of what you can do from the centralized user interface:

  • Create and deploy charts of accounts

  • Edit charts of accounts

  • Manage shorthand aliases

  • Manage cross-validation rules

  • Manage account combinations

  • Manage value set values and hierarchies

  • Manage segment value security rules

Note: It's recommended you use the centralized interface to manage your configurations instead of the individual setup tasks in the Setup and Maintenance work area.

Chart of Accounts

Select the task to open the Manage Chart of Accounts Configuration page. From here you can view your chart of accounts instances, descriptions, segment separators (delimiters), and whether the chart of accounts is enabled.

If you're creating a chart of accounts, download the Rapid Implementation for General Ledger setup template and then upload the setup files. You can also deploy all of your charts of accounts and view information about the latest deployment.

Manage chart of account details on the Edit Chart of Accounts Configurations page. Details include the chart of accounts name and description as well as these options:

Enable dynamic account combination creation

Indicates whether combinations of accounting flexfield segment values can be created automatically.

Enable shorthand aliases

Indicates whether you can create names to represent partial or complete account combinations.

Allow account combinations with same primary balancing and intercompany values

Appears when a chart of accounts has an Intercompany segment. Indicates whether an account combination can have the same segment value for both the Primary Balancing and Intercompany segments.

You can also manage segment names, labels, and specify default hierarchies. Create and maintain segment values and account hierarchies using spreadsheets and then upload them to import the values and hierarchies.

Note: To manage segment labels, select the chart of accounts on the Manage Chart of Accounts Configurations page. In the Segments section on the Edit Chart of Accounts Configuration page, select Manage Segment Labels from the Actions menu.

Segment Value Security Rules

Use a desktop-integrated spreadsheet to define rules that control access to chart of accounts segment values for a value set.

Caution: Here are some cautions for using this spreadsheet:
  • You can only use the spreadsheet if you're enabling security on a value set for the very first time and haven't created any segment value security rules for it yet.

  • Once you use this spreadsheet, you must continue to use it to manage rules for the value set. Don't use the Edit Data Security page in the application to update setups that were made using this spreadsheet. Also, don't use either the Edit Data Security page or the Create Segment Value Security Rules spreadsheet, accessed through Create Segment Value Security Rules in Spreadsheet task, to create additional segment value security rules for the value set.

  • You can't use this spreadsheet to edit segment value security rules that were created using either the Edit Data Security page or the Create Segment Value Security Rules spreadsheet.

  • Rules you define using this spreadsheet are stored differently from rules you define using the other methods. To maintain rule integrity, use the same method from the first time you enable security on the value set.

Select the chart of accounts on the Manage Chart of Accounts Configurations page. In the Edit Chart of Accounts Configuration page:

  1. Select the value set in the Segments section.

  2. In the Value Set tab, select the Enable security check box.

  3. Enter a data security resource name.

  4. Save your changes.

  5. Click Manage Data Security.
