Data Set Configuration for Approval Groups
You can use data sets to map Approval Groups based upon varying attributes.
A data set lets you define a mapping between your data and the variation in approvers based on the values of varying transaction attributes.
For example, if an organization requires approval by Approval Group for any invoice having an invoice amount greater than USD 500. In addition, they have different approval groups for different cost centers within the organization. Therefore, the approval group to which the invoice will be routed for approval will depend upon the cost center on the invoice.
- Specify the conditions based upon which approvers vary for your approval rules.
- Define each set of varying attributes a dataset. Using data sets is optional.
You must prefix the data set with '$' when using data sets in the rule definition. For example, a data set named FINAPPROVALGROUPS must appear as ‘$FINAPPROVALGROUPS’ in the rules.
This table displays the columns for defining data sets:
Column | Description | Mandatory (Y/N) |
---|---|---|
Set | Name of the data set. This name should be used in the rules worksheet whenever required during rule definition. | Y |
Group/Job Level/User/Role |
The value of Approval Group or Job Level or User or Role. The value provided will depend upon the Approval Routing of the rule. |
Y |
Varying Attributes |
There will be three columns provided for Varying Attributes. Therefore, you can define data sets that by 3 or less attributes. Each data set can refer to a different set of attributes. |
N |
Data set sheets have one block for each data set by default. However, you can add additional blocks as needed. Each block has 5 rows by default. You can insert additional rows to the block.
