AutoInvoice and Control of Transaction Completion
Use control of transaction completion on invoices and credit memos imported using the Import AutoInvoice process.
You can only use control of transaction completion on imported third-party transactions. You can't designate control of transaction completion on imported transactions from Oracle Fusion Cloud upstream systems, including Order Management, Project Management, and Subscriptions.
You must complete the necessary setups for control of transaction completion. This includes:
- Assign Roles and Privileges
- Create Imported Transaction Sources
- Create Transaction Types
- Create User-Defined Rules
Credit Memos and Control of Transaction Completion
If you plan to use control of transaction completion, don't enable the Receipt Handling for Credits option on the Imported transaction source.
During AutoInvoice import, invoices that require review are left Incomplete and assigned the Pending Approval status. AutoInvoice can't apply credit memos to Incomplete invoices.
The corresponding credit memo lines remain in the RA_INTERFACE_LINES_ALL table until the invoices are approved and set to Complete.
If an invoice is created and set to Complete without review, but the corresponding credit memo requires review, the credit memo is created and assigned the Pending Approval status. After review and approval, the credit memo can be applied to the invoice.
Import Transactions with Control of Transaction Completion
To use control of transaction completion during AutoInvoice import:
- Navigate to Scheduled Processes.
- Select the Import AutoInvoice process.
- In the Business Unit parameter, select the applicable business unit.
- In the Transaction Source parameter, select an Imported transaction source
enabled for control of transaction completion:
- External control
- Role-Based control
- User-Based control
- In the Default Date parameter, confirm or update the date.
- In the Transaction Type parameter, select a transaction type enabled for control of transaction completion.
- Complete the remaining parameters according to your requirements.
- Click Submit.
After transaction creation, transactions that require review and approval before completion are processed as follows:
- External control:
- Review all invoices and credit memos, or all invoices and credit memos with negative transaction line amounts.
- Any user with the AR_MANAGE_TRANSACTION_CONTROL_REST privilege can review and approve the transactions.
- Role-Based control:
- If an Auto Approval rule applies to the transaction, then the transaction is auto-approved and set to Complete, and no review is required.
- If no Auto Approval rule applies to the transaction, then the transaction is set to Incomplete and assigned the Pending Approval status.
- Any user with the AR_APPROVE_RECEIVABLES_TRANSACTION_PRIV privilege can review and approve the Pending Approval transactions.
- User-Based control:
- If an Auto Approval rule applies to the transaction, then the transaction is auto-approved and set to Complete, and no review is required.
- If no Auto Approval rule applies to the transaction, then the transaction is set to Incomplete and assigned the Pending Approval status.
- Assign specific users designated by the User Approval rules to the transactions Pending Approval.
- If no User Approval rule applies, then any user with the AR_FORCE_APPROVE_RECEIVABLES_TRANSACTION_PRIV privilege can review and approve the Pending Approval transactions.
