How do I credit and rebill a transaction?

Sometimes the simplest way to manage a transaction change is to credit and rebill.

Common scenarios for credit and rebill include:

  • A customer indicates that an invoice doesn't reflect the correct price of a product or service. The customer requests a new invoice with the correct information.

  • A customer wants to correct accounting directly in the subledger, instead of making a manual journal entry in general ledger. With credit and rebill, the credit memo reverses the accounting of the original invoice, and the updated duplicate invoice creates new accounting for posting to general ledger.

  • The customer wants to change the bill-to information on a posted transaction.

To credit and rebill a customer transaction:

  1. In the Manage Transactions page, search for and select the transaction you want.

    You can only credit and rebill transactions that are Complete.

  2. In the Actions menu of the Review Transaction page, select either:
    • Credit Transaction to credit the entire balance.
    • Submit a Dispute to enter dispute information and run the Credit Memo Rebill process.
  3. In the Actions menu, select Duplicate to create a new transaction and update the details that need correcting.
  4. If the original transaction is an invoice, you can associate this rebill invoice with its original invoice using the Rebill Source Transaction field.

    Navigate to Create Transaction > General Information > Show More > Miscellaneous > Rebill Source Transaction and select the original invoice. After the rebill invoice is complete, you can drill down to the original invoice and review related credit memo information in the Transaction Activities window.
