Consolidated Invoice Examples
The scheduled processes generate consolidated invoices according to the details of the consolidation method setup.
These two examples describe the process of consolidating charge lines into invoices using each of the consolidation methods.
Example: Time-Based Consolidation
A customer requests that you send a consolidated invoice every Monday morning for the duration of the contract. The invoice should include all charges from Order Management and Subscription Management purchase orders processed the previous week.
You complete these setups:
- Billing Cycle:
- Name: Monday Weekly
- Cycle Frequency: Weekly
- Repeat After: 1
- Day of the Week: Monday
- Skip Saturdays and Sundays: Yes
- Consolidated Billing Terms Record:
- Consolidation Method: Time-based
- Billing Cycle: Monday Weekly
- Billing Inclusions:
- Order Management
- Subscription Management
- Customer Account Profile:
- Enable Consolidated Billing
- Assign the billing terms record
Order Management sales orders and Subscription Management subscriptions for the customer account are processed Monday through Friday and charge lines loaded into the Receivables interface tables.
On Sunday evening 11:59 PM:
- Import Receivables Transactions Using AutoInvoice runs:
- Marks the charge lines Ready for Consolidation
- Assigns charge lines the transaction source ORA_Consolidated Invoice
- Consolidate Charge Lines for Invoice Import into Receivables runs:
- Groups enabled charge lines into invoices according to the consolidated billing terms record assigned to the customer account and the AutoInvoice grouping rule and line ordering rule.
- Import Receivables Transactions Using AutoInvoice runs automatically and creates the consolidated invoice on Monday.
Example: Fulfillment-Based Consolidation
A customer has an ongoing project to purchase new furniture and equipment for an entire office building, a project that will take many months to complete. The customer wants to receive a consolidated invoice about every two weeks to keep current with payments for items delivered, while other items are still in progress. The invoices are to contain all charge lines completed by the appointed milestone date.
You complete these setups:
- Order Management Setup
- Consolidated Billing Terms Record:
- Consolidation Method: Fulfillment-based
- Cut-off Date Basis: First Billable Line Date
- Cut-off Days: 14
- Transaction Date Handling: Latest Fulfilled Line Date
- Billing Inclusions:
- Order Management
- Customer Account Profile:
- Enable Consolidated Billing
- Assign the billing terms record
A sales order is submitted with 10 order lines, and the first order line is fulfilled on June 1. Because the cut-off date basis is First Billable Line Date and the cut-off days is set to 14, the cut-off date for this sales order is June 14. Over the next two weeks 3 additional order lines are fulfilled, with the last line fulfilled on June 11.
On June 14:
- Import Receivables Transactions Using AutoInvoice runs:
- Marks the 4 fulfilled charge lines Ready for Consolidation.
- Assigns charge lines the transaction source ORA_Consolidated Invoice.
- Consolidate Charge Lines for Invoice Import into Receivables runs:
- Groups the 4 charge lines into a consolidated invoice.
- Because the transaction date handling is Latest Fulfilled Line Date, the transaction date assigned the invoice is June 11.
- Import Receivables Transactions Using AutoInvoice runs automatically and creates the consolidated invoice.
When the next order line from the remaining 6 lines is fulfilled, a new cut-off date is assigned 14 days later and another consolidated invoice created from whatever additional order lines are fulfilled by that cut-off date.
