Set Up Capturing of Additional Information About SR and SR Message Attachments

To capture additional information about the attachments uploaded or edited by users, you can use flexfields.

You can extend the Service Request (SR) Attachment and SR Message Attachment business objects to support flexfields. So users can provide additional information about the attachments when uploading them or editing them on the SR.

Here's an outline of the steps that you need to complete. Each of these steps is described in detail later in this topic.

  1. Create a global segment if you want the flexfield to be visible in all the attachment categories.

  2. Create a contextual segment if you want the flexfield to be visible in some of the attachment categories.

  3. Deploy the flexfields so that they're visible to the users when uploading attachments to a service request or SR messages.

Create a Global Segment

If you want the flexfield to be visible in all the attachment categories, you must create a global segment.

  1. Sign in as an administrator or a setup user.

  2. Navigate to the Setup and Maintenance work area and open the Tasks panel tab.

  3. Search for and select the Manage Descriptive Flexfields task.

  4. On the Manage Descriptive Flexfields page, type FND_ATTACHED_DOCUMENTS in the Flexfield Code field and click Search.

    The Search Results area displays a search result with the name Attached Documents DFF.

  5. Click Edit in the Search Results area.

  6. On the Edit Descriptive Flexfield: Attached Documents DFF page, navigate to the Global Segments area.

  7. Click Create to create a new global segment.

  8. On the Create Segment page, fill in the appropriate fields.

    Note: You may need to create a value set for your flexfield before creating the segment. To create a value set, use the Manage Value Sets task in Setup and Maintenance. For more information about value sets, see "Overview of Value Sets" in Oracle Applications Cloud Configuring and Extending Applications.
  9. Click Save and Close on the Create Segment page.

You have created a global segment. You can see the newly created global segment name in the Global Segments area of the Edit Descriptive Flexfield: Attached Documents DFF page.

Create a Contextual Segment

If you want the flexfield to be visible in some of the attachment categories, you must create a contextual segment.

  1. Sign in as an administrator or a setup user.

  2. Navigate to the Setup and Maintenance work area and open the Tasks panel tab.

  3. Search for and select the Manage Descriptive Flexfields task.

  4. On the Manage Descriptive Flexfields page, type FND_ATTACHED_DOCUMENTS in the Flexfield Code field and click Search.

    The Search Results area displays a search result with the name Attached Documents DFF.

  5. Click Edit in the Search Results area.

  6. On the Edit Descriptive Flexfield: Attached Documents DFF page, click Manage Contexts.

  7. On the Manage Contexts page, do one of the following:

    • If you have already defined a context in the past, then search for that context.

    • If you haven't defined a context in the past, click Create in the Search Results area to create a new context. On the Create Context page, fill in the appropriate fields to create a context and click Save.

      Note:
      • The Context Code must match the Attachment Category for which you're creating the new flexfield. Here are the two attachment categories that can be used for Service:

        • Internal

          • Category Display Name: Internal

          • Category Code: SVC_INTERNAL

        • Miscellaneous

          • Category Display Name: Miscellaneous

          • Category Code: MISC

      • So to create a flexfield for the attachments in the Miscellaneous category, you must set the Context Code to MISC. Similarly, the context code must be SVC_INTERNAL if you're creating flexfields for the Internal category.

  8. In the Context Sensitive Segments area, click Create to create the Context Sensitive Segment for the context.

  9. On the Create Segment page, fill in the appropriate fields.

    Note:
    • You may need to create a value set for your flexfield before creating the segment. To create a value set, use the Manage Value Sets task in Setup and Maintenance. For more information about value sets, see "Overview of Value Sets" in Oracle Applications Cloud Configuring and Extending Applications.

    • Ensure that the Enabled check box is selected for the Context Sensitive Segment.

  10. Click Save and Close on the Create Segment page.

    In the Context Sensitive Segment area of the Edit Context page, you can see the newly created context sensitive segment.

  11. Click Save and Close on the Edit Context page.

  12. Click Save and Close on the Manage Contexts page.

    The Edit Descriptive Flexfield: Attached Documents DFF page is displayed.

  13. In the Context Sensitive Segments area, from the Context drop-down list, select the context.

    You can see the newly created context sensitive segment here as well.

  14. Click Save and Close.

  15. On the Manage Descriptive Flexfields page, click Deploy Flexfield.

    Note: You can also deploy the flexfield later. You don't have to do it immediately. For more information, see the Deploy Flexfields section.
  16. Click Done.

Deploy the Flexfields

After you create the flexfields, you must deploy them. Only after they're deployed, the flexfields are visible to the users when uploading attachments to an SR or SR message.

  1. Sign in as an administrator or a setup user.

  2. Navigate to the Setup and Maintenance work area and open the Tasks panel tab.

  3. Search for and select the Manage Descriptive Flexfields task.

  4. On the Manage Descriptive Flexfields page, type FND_ATTACHED_DOCUMENTS in the Flexfield Code field and click Search.

    The Search Results area displays a search result with the name Attached Documents DFF.

  5. In the Search Results area, click Deploy Flexfield to deploy your newly created flexfields.

  6. After they're deployed, click OK on the dialog.

Note: In the Search Results area, check the Deployment Status for the Attached Documents DFF row. If some of the newly created flexfields aren't deployed yet, the Deployment Status column shows an Edited icon. After you deploy all the newly created flexfields, the column shows an Enabled icon.
