Refund Involuntary Deductions for the US

There are cases when you have to refund an involuntary deduction.

Here are some options.

  • Refund the employee

  • Perform a balance adjustment

Refund the Employee

To refund the employee, choose the option most appropriate for your business.

  • Define a nonrecurring voluntary deduction element, and enter the refund amount as a negative deduction. This can be processed in a payroll run.

  • Create a manual check payment through Oracle Fusion Payables.

  • Define a nonpayroll payment element to be processed in a payroll run.

Perform a Balance Adjustment

In addition to the refund to the employee, you must adjust the applicable balances associated with the deduction.

For Involuntary Deduction elements subject to a total owed, make sure you adjust the base and processing fee balances appropriately. Use the Adjust Individual Balances task to perform the balance adjustment on these results elements.

  1. Review your involuntary deduction results element definition.

    1. Confirm you have marked ReferenceCode2 input value as Allow User Entry. If it isn't, do a correction mode edit to set it.

    2. Confirm you have created element eligibility for the element.

  2. Review your involuntary deduction processing fee results element definition.

    You need to do this if you're refunding a processing fee.

    1. Confirm you have marked the ReferenceCode2 and State input values as Allow User Entry. If they aren't, do a correction mode edit to set them.

    2. Confirm you created element eligibility for the element.

  3. Perform a balance adjustment using your involuntary deductions results element.

    1. From My Client Groups, click Payroll.

    2. Click Adjust Individual Balances.

    3. Search for and select the person requiring the adjustment.

    4. Enter an appropriate effective date.

    5. Search for and select the results element.

    6. Set the values for these input values.

      For these input values

      Enter this

      ThirdPartyPayee

      Select the appropriate third-party payee.

      Note: If you defined this element before Release 21A, enter the ID for the order amount payee. You can find this value in the results element from the payroll run results.

      DeductionsCalculated

      Enter the amount you want to refund as a negative number.

      OrderNumber

      Enter the involuntary deduction's reference code. You can find this value on the Involuntary Deductions card component.

      ReferenceCode2

      Enter the element entry ID. You can find this value in the results element from the payroll run results.

      AmountAccrued

      Enter the amount you want to refund as a negative number.

    7. Click Submit.

  4. Perform a balance adjustment against your involuntary deduction processing fee results element.

    You need to do this if you're refunding a processing fee.

    1. From My Client Groups, click Payroll.

    2. Click Adjust Individual Balances.

    3. Search for and select the person requiring the adjustment.

    4. Enter an appropriate effective date.

    5. Search for and select the processing fee results element.

    6. Set the values for these input values.

      For these input values

      Enter this

      Select the appropriate third-party payee.

      Enter the amount you want to refund as a negative number.

      Enter the involuntary deduction's reference code. You can find this value on the Involuntary Deductions card component.

      ReferenceCode2

      Enter the element entry ID. You can find this value in the processing fee results element from the payroll run results.

      State

      Select the state from the list of values. You can find this value in the processing fee results element from the payroll run results.

    7. Click Submit.
