How to Exclude Employees from Apprenticeship Levy Calculation

All eligible employees are included in the apprenticeship levy calculation, by default. The employment payment summary reports this calculation.

You can use these options to exclude employees from the apprenticeship levy calculation.

  • You can exclude all employees in a tax reporting unit (TRU) from the levy calculation. You can do this by selecting the check box Exclude from apprenticeship levy at the TRU level. For more information, see the document HR Implementation and Functional Considerations for the UK (Document ID 1531728.1) on My Oracle Support (MOS). If this is set to exclude all employees in the TRU, then there's no override to include particular employees in that TRU for the levy calculation. And, the two options below aren't available to exclude employees.
  • If you haven't selected the check box for all employees in the TRU, you could optionally write a fast formula to determine which employees (in that TRU) to exclude from the levy calculation. The formula must:
    • Have EXCLUDE_FROM_APPRENTICESHIP_LEVY_USER_DEFINED
    • Have formula type: Payroll Access to HR
    • Accept 1 input that must be of type Number: ASG_ID
    • Set the ASG_ID value as the HR_ASSIGNMENT_ID context
    • Return a variable ‘EX_FLAG’ of value Y to exclude the record
  • Subject to the above constraints, the employee can be excluded from the apprenticeship levy calculation. You need to select the check box Exclude from apprenticeship levy. This is available on the PAYE component of the employee’s Statutory Deduction card for the relevant TRU.
