How to Use the Gender Pay Gap Analysis Spreadsheet

After you run the Gender Pay report process and extracted the data, use these instructions to import the data into the UKGenderPayGapAnalysis spreadsheet template.

  1. Extract the data to be analyzed into a spreadsheet.
  2. Open the extracted spreadsheet.
  3. Download and open UKGenderPayGapAnalysis-v1.3-Template.xlsx.
  4. Select the extracted data without the column headings. and click Copy.
  5. Go to Data worksheet of the target Excel sheet.
  6. Paste the copied data into the empty cells under the headings at cell A2 (Row 2) 7.
  7. Go to Analysis worksheet for the gender pay gap analysis result.
    Note: In case of a #DIV/0 error, go to the FTE Status column in the Data worksheet. Make sure that Find the FTE should not be 0 error to find the row and correct the FTE value. You can delete the rows to be excluded, but make sure that you've disabled protection before deleting the rows.
    Attention: You must upload data into the selected cells only, that is, cells in the Data sheet ranging from A2 to X20000. The analysis worksheet supports up to 19,999 rows. The worksheets are protected from any unintended updates that could cause issues.
  8. If you need make any required updates to the protected cells, you can disable the protection. For example, to add another 100 rows for entry:
    1. To disable protection, go to Review > Unprotect Sheet.
    2. Select any 100 valid entry rows by clicking row numbers, for example, rows 2 to 101.
    3. Right-click any valid row and select Insert Copied Cells’ to insert 100 rows.
    4. Enter additional data in the inserted rows.
  9. Alternately, you can copy and paste rows in increment of 20000. To this:
    1. Disable the protection on the Data sheet.
    2. Unhide the additional rows after column AA by selecting columns AA to AF, right-click and select Unhide.
    3. Copy a valid entry row.
    4. Select all the additional rows (as many as you want) to be created and paste.
