Distribute Payroll Accounting

Distributing accounting involves transferring costing results for your payroll run costs and your payments.

Distributing accounting consists of these steps.

  1. Calculate cost distributions.

  2. Distribute your payroll accounting info.

    1. Transfer the cost results to Oracle Fusion Subledger Accounting.

    2. Create journal entries for review.

    3. Reviewed and approve them.

    4. Generate the final journal entries.

    5. Post them to Oracle Fusion General Ledger.

How You Transfer Costing Results

Oracle Fusion Subledger Accounting takes your cost distributions from the payroll process and uses it to generate journal entries for financial transactions. Use the Transfer to Subledger Accounting process to prepare transactions for accounting for the costing results and journal entries. For example, the process prepares transactions for the payroll run results and journal entries for each costed run result. For further info, see Transfer to Subledger Accounting in the Help Center.

The US Simplified Payroll Cycle flow runs this process for you.

This process creates a transaction number for each person's costing results. You can use this number when searching for their journal entries on the Review Journal Entries task.

For example, if you submit a QuickPay process, the Transfer to Subledger Accounting process creates journal entries for each costing result generated by:

  • Payroll calculation process

  • Payment process

They create two transaction numbers, one for the payroll calculation costing results and one for the payment costing results.

How You Create and Review Draft Journal Entries

The US Simplified Payroll Cycle flow automatically runs the Transfer to Subledger Accounting process for you.

When it finishes, use the Create Accounting process in draft mode to generate and review journal entries before transferring and posting them to Oracle Fusion General Ledger. Typically, you review them after processing payroll or running any process that requires costing.

Displays output of the Create Accounting process.

If you have costing results that require correction:

  1. Roll back the Transfer to Subledger Accounting process from the flow's checklist.

  2. Correct the costing results.

  3. Submit the Transfer to Subledger Accounting process.

  4. Submit the Create Accounting process in draft mode to create and review the corrected journal entries.

How to Create, Transfer, and Post Journal Entries

You submit the Create Accounting process in final mode to transfer and post the final journal entries to Oracle Fusion General Ledger. For further info, see Create Accounting in the Help Center.

After you submit and complete it, you can't roll back the posted journal entries. If a result requires correction, perform these actions.

    Enter adjustments directly into Oracle Fusion General Ledger.

  3. Submit the Create Accounting process in draft mode.

  4. Run the Payroll Costing Results Report to review the entries.

  5. If accurate, run Create Accounting in final mode to transfer and post the entries to General Ledger.
