Year-End Documents Publish Date

Specify the day and month when employees can view their year-end documents in employee self-service for the following document types:

  • T4

  • T4A

  • RL-1

  • RL-2

The configuration addresses original, amended, and cancelled form types.

The publish day and month determines the date the documents are published to Document Records. In order to publish these documents to Document Records, complete these conditions:

  • Submit the Run End-of-Year Reports task in final mode.

  • Set the publish date on or before the system date, so that the PDF Final option generates a final version of the individual year-end slips and publishes them to the Document Records.

Once these two conditions are met, the employee can view their document in employee self-service and the professional user will be able to access the final document in the Document Records.

You can configure the publish day and month for the payroll statutory unit (PSU) or tax reporting unit (TRU), or for both. If you configure the publish date at the PSU level, all TRUs belonging to that PSU will adhere to the same date. You may override the configuration at the TRU level, if needed.

To configure the publish date for the PSU, use the Manage Legal Entity HCM Information task. To configure the publish date for a TRU, use the Manage Legal Reporting Unit HCM Information task. The fields are located in the Year-End Reporting Rules section. Once you configure the publish day and month, this controls both the federal and provincial form types.

If the publish dates are left blank, the documents are available once final mode is processed.

Here's what you must ensure to display the documents in employee self-service:

  • Publish Day and Month on or before today's date (PSU or TRU level, or PSU and TRU level)

  • Run End-of-Year Reports task in PDF Final mode

  • Set Document Type Delivery Method to Online

  • Set Document Type Publish Required to Yes
