Prenotifications

The purpose of prenotifications is to validate routing numbers and account numbers of the receiving banks. Once you have set up prenotifications for your organization payment method, the prenotification status is on in the professional payment method page.

Depending on the prenote status, you may edit the prenotification status field to update the prenote status.

This table describes the prenote status and actions that you can take:

This status will show when the bank account is first created and added to a payment method.

This status will show when the payment method is processed prepayments, for the number of prenote days as defined in the Organization Payment Method page.

This status will show when the prenote period has completed.

This status can be set by the professional user if the bank rejects the bank account information.

This status can be set by the professional user if they want to bypass the prenote process for a specific employee.

For example, your prenote process requires a 5 day wait period. You have a new hire, on a monthly payroll, with the first period end date being the 30th Jan. They enter their bank account details on 15th Jan. When the payroll department runs the prepayment process with an effective date of 30th Jan, the prenote statuses will appear as follows:

The employee will receive a check payment for the first payroll period and the bank account will be used for payment effective 4th Feb and after.

Note:

A professional user can also update the prenote date field, when the status is submitted, if for example, they need longer to verify the account.

Important prenotification banner messages show at the top of the page to let you know that the bank account isn't currently used for payment because it's still in Submitted status or is in Rejected status. This table explains these banner messages:

This bank account will be used once the prenote process is complete.

During Submitted status, from the time the bank is first entered and attached to a payment method until the prenote process is complete.

This bank account was rejected during the prenote process and will not be used.

During Rejected status, This will be shown when the bank has been marked as rejected.

Skip Prenotification

There are situations where you may choose to skip the prenote process, such as if you recently migrated data into HCM Cloud and the bank prenote was completed in your legacy system. The prenote process automatically triggers when new bank accounts are loaded. Because prepayments process pays the employees by check until prenote process is complete, you must skip the prenote process to avoid this. Manually skip the prenote process or use HCM Data Loader.
