How do I convert a contingent worker to an employee using Oracle Recruiting Cloud?

As an HR Representative, you want to check on the status of a requisition and confirm whether any applications have been submitted for it.

Click My Client Groups.

Click Hiring.

Click Requisitions.

You can search for a requisition by title, number, or description, and use the filters to refine your search. By default, the job requisitions are filtered to show all of your jobs. New applications are displayed here, and you can click for more details.

In the New Applications column, click the 1 link.

The status of the application is displayed here. Click the candidate name to begin processing the candidate.

Click RS2Contingent Worker name link.

The candidate info page indicates that this candidate is a contingent worker. In this example, showing contingent workers as external workers is not enabled. You're ready to create the offer, so move the application to begin the process.

Highlight Contingent.

Click the More Actions icon and select Move Application.

In the Phase field, select Offer.

In the State field, select To be Created.

Click Move.

Click the More Actions icon and select Create Job Offer.

Select the information you want to include in the offer and click Continue.

Click to select all options.

Click Continue.

Enter the start date and legal employer. It's important to select Employee as the Worker Type and Add Employee Work Relationship as the Action.

In the Worker Type field, select Employee.

In the Action field, select Add Employee Work Relationship.

Highlight the Worker Type and Action fields.

Click Continue.

Then enter the appropriate assignment, Contract info, offer team, payroll, and salary info.

In the Assignment Info section, click Continue.

In the Contract Info section, click Continue.

In the Offer Team section, click Continue.

In the Payroll Info section, click Continue.

In the Salary Basis field, select PA India Annual Salary Basis.

In the Salary Amount field, enter 10,000.00.

Click Continue.

In the Other Compensation section, click Continue.

In the Comments and Attachments section, click Continue.

Then add any additional information, and select your offer letter template.

In the Name of Test Member field, select John Anderson.

In the Title of Test Member field, select John Anderson.

Click Continue.

In the Offer Letter section, Offer Letter field, enter CMT.

Click Search.

In Search and Select, click Search.

In the Search Results click CMT Offer Letter.

Click OK.

After you've entered all the info, click Submit to create the offer.

Click Submit.

After the offer goes through your approval process, the status on the job page will indicate that the offer for this candidate has been approved. Then you can extend the offer.

Click the candidate name link.

Click the More Actions icon and select Extend Offer.

Click Extend.

The status on the job page will indicate that the offer for this candidate has been extended. Then the candidate must review and accept the offer.

After the candidate accepts the offer, because automatically processing internal candidates is not enabled in this example, the status will change and indicate that this is ready for manual processing. However, because the candidate is a contingent worker, we strongly recommend you terminate the employment of the contingent worker before you begin the HR processing. To do that, first open the worker record.

Highlight the status.

Click the Home icon.

Click My Client Groups.

Click Person Management.

Search for and select the contingent worker.

In the Name field, enter Contingent Worker RS2.

In the Effective As-of Date field, enter 19.08.25.

In the Search Results, click RS2Contingent Worker link.

Click the Task icon and select Work Relationship.

Click Actions and select Terminate.

Make sure the termination date is before the offer start date, and enter any other necessary information.

Click Review.

When you're ready, click Submit.

Click Submit.

Click Yes.

After you've terminated the contingent work relationship, you're ready to continue with the HR processing and add the new work relationship.

Click OK.

Click the Home icon.

Open the Manage Job Offers page.

Click My Client Groups.

Click Show More.

Click Manage Job Offers.

When you add this new employee work relationship, this worker will be converted to an employee in the application with the assignment defined in the offer letter.

Click the Actions icon and select Add Employment Work Relationship.
