How do I create an offer letter template?

The first step in creating a custom job offer letter template, is to download the seeded job offer template from OTBI.
In OTBI, navigate to Shared Folders > Human Capital Management > Recruiting > Job Offer
In the Job Offer Letter row, click Edit.
Here are all the available job offer letters. I want to download the Job Offer Letter Sample so that I can edit it.
Press CTRL+F and search for sample.
Use the browser search, and search for sample.
For the Job Offer Letter Sample, click Edit.
Now I want to download the job offer letter data model. Remember only those with BI administrator privileges can copy folders or content in OTBI.
Click Catalog.
Expand the Job Offer folder.
Click the Data Models folder.
I’ll copy the Job Offer Letter data model, and paste it into the Custom Job Offer folder.
In the JobOfferLetterDM row, click More and select Copy.
Navigate to Shared Folders and expand the Custom folder.
Navigate to Custom > Human Capital Management > and select the Recruiting folder.
In the Job Offer row, click More and select Paste.
Next, I’ll get the offer ID. To do this, I’ll first need to create a data model.
Click Create and select Data Model.
In the PLUS field, select SQL Query.
Once I paste the SQL query, if necessary, I’d need to change the Requisition Number and Candidate Number based on the Requisition for which I’m getting the offer ID.
In the Name field, enter NewOfferID.
In the Data Source field, select ApplicationDB_HCM.
In the Type of SQL field, select Standard SQL if not already selected.
In the SQL Query text box, paste the SQL query.
Click OK.
Click the Data tab.
Click View.
I’ll copy the Offer ID.
Copy the Offer_ID.
Then I’ll get the sample XML file. I’ll go back to the copy of the Job Offer Letter data module I copied into the Custom folder.
Click Catalog.
Navigate to Custom > Human Capital Management > Recruiting > Job Offer.
In the JobOfferLetterDM row, click Edit.
Click the Data tab.
Then I’ll paste the OFFER_ID I copied.
In the field above the View Engine Log button, paste the OFFER_ID.
Click View.
Once the results are displayed, I’ll save this as sample data.
Click Save As Sample Data.
Click OK.
Click Export.
Now I’ll open the job offer letter sample document I previously downloaded.
In the browser, click the Download icon and select the JobOfferLetterSample.rtf file.
Then I’ll load the xml file I downloaded.
In the Publisher tab, click Sample XML.
Select the JobOfferLetterDM.xml file previously downloaded.
Click Open.
Click OK.
Now I can modify the template.
Click Field.
I can select from a list of fields and insert them into my template as needed.
Scroll down to show list of field.
Highlight Insert.
Click Close.
Once I’m done modifying the template, there are a couple ways I can view the finished letter. I can view the PDF.
In the Publisher tab, click Preview and select PDF.
Or I can view the HTML version.
In the Publisher tab, click Preview and select HTML.
Go back to the template in Word.
I’ll save my updated template.
In Word, click File > Save As > Browse and select Desktop.
Change the file name to New Offer Letter Template and click Save.
Then I’ll save it as a .zip file.
In Windows Explorer, right-click the .rtf file and save as a .zip file.
Now I’ll upload the .zip file to the Recruiting Content library.
On the Home page, click the Settings and Actions icon and select Setup and Maintenance.
Click the Task icon and select Search.
Search for and select Recruiting Content Library.
Click Create.
I’ll enter the content item details. I have three options for visibility – internal, external, or both. In this case, I want both.
In the Name field, enter NewOfferLetter.
In the Code field, enter NewOfferLetter.
In the Category field, select Job Offer Letter Template.
In the Visibility field, select Internal, External.
Select the Start on Activation check box.
Click Browse.
Click the NewJobOfferLetterTemplate.zip file and then click Open.
Click Save as Draft.
Click Actions and select Activate.
Select the Start on Activation check box.
Click Activate.
I’ve uploaded the new template and I can see that it’s active.
Highlight Status.
Click the Back icon.
In the Keyword field, enter NewOfferLetter and click Search.
I’ve confirmed the file is available, and is Active. The final step is to associate the job offer letter with the job offer.
Click the Home page icon.
Click My Client Groups.
Click Hiring.
I’ll navigate to my candidate.
On the Job Requisitions page, in the Keywords field, enter 122221.
Click Search.
In the ORC Consultant row, click the Applications link.
Click the Actions icon and select Edit Offer.
I can change any of the assignment or salary details as needed. However, the only thing I want to change right now is the offer letter, so I’ll continue to that section.
Click Continue in each of the sections until section 8, Offer Letter.
I’ll search for the offer letter I just uploaded.
In the Offer Letter field, select Search.
In the Name field, enter NewOfferLetter.
Click Search.
In the Search Results, click NewOfferLetter.
Click OK.
If I want to make more changes later, I can save and close this for now. Once I’ve made all my changes, I can submit.
Click Submit.
