How do I manage a succession plan?
Introduction, title, and music.
I’m signed in as an HR Specialist. I want to manage the succession plan for the Director of Payroll, and confirm that we’ve got the right candidates in place.
Start on the Home page.
Click My Client Groups.
Click Succession Plans.
Succession plans are designed for management to mitigate the risk and impact of a vacancy to their organization. In the Available Plans section I can see a list of plans that I have access to. I can see the plan name, plan type, the person, position, or job the plan is for, the plan owners, its current status, and whether or not it’s private – which means that only the owners listed here can see the plan. I can also track and add external candidates. After an external candidate has been added, they’re available to add to any succession plan.
Scroll to bottom of page.
From this page, there are 3 actions I can take on these plans – I can set the plan to inactive, I can delete the plan, or I can view the plan history.
Scroll to top of page.
Click the Actions icon.
Click to close Actions.
And if I need to create a new plan, I can do that here.
Highlight the Add button.
If I’m looking for a plan and I know the plan name, I can enter it in the keyword search. If I don’t, I can use the filters to help me find the plan I want.
Highlight Search field.
Click Show Filters.
I can filter by Name, Owner, Plan Type, Status, or a specific Job, Incumbent, or Position, to find the plan I’m looking for.
Scroll to show filters as they’re mentioned in the narration.
Click Hide Filters.
If I expand one of these plans, I can see a quick overview of the plan information – including how many candidates the plan currently has, how many are interim successors, how many are ready now, and the readiness count.
Scroll down to Brian Joseph Succession.
Click the expand icon.
To open an existing plan, I click the plan name link.
Click the Brian Joseph Succession name link.
This page displays the plan info and all the candidates that have already been added to the plan. It also shows a count of all the plans a candidate is on so that I can determine if I should remove them from this plan if they’re already on too many other plans. Banners call out any candidate role changes from when they were first added to the plan. I can see one of the candidates has taken a different role, so I might want to take some action on her in this plan.
Scroll down to Candidates list.
In addition to the banners, notifications are also sent to the owners of the plan. I can set up the alerts that trigger those notifications here.
Not all alerts are available for all plans. The incumbent alert isn’t available for job-based or position-based plans, only incumbent-based plans like this one.
Click to collapse Alerts.
I can see the owners of the plan, and decide which of them will get the alerts.
In the Curtis Feitty row, click the Edit icon.
In the Send Alerts field select Yes.
Click Save.
I want to add one more candidate to this plan. When I click Add, I have four options to add new candidates. I can search for internal or external candidates, use the Best-Fit feature to select and add candidates, or select members from a talent pool. If AI recommended candidates is enabled I can use that, but then I won’t have the option to use the Best-Fit feature. In this case, I want to add an external candidate.
Click Add and select External Candidate.
Manuel is a very senior consultant that we’ve worked with before and could be ready quickly. Right now I think he’s our number 2 candidate.
In the Name field select Manuel Breuer.
In the Readiness field select Less than one year.
In the Ranking field, enter 2.
Click OK.
That’s all the changes I want to make for now. I can come back and make more updates at any time. Now I’ll check the plan history.
Click View Plan History.
I can view the plan history for the last 3 months, 6 months, a specific date range, or all of the history. The Plan History shows who changed the data, when it was changed, and the previous and current values.
In the History field select All.
Thanks for watching.
