View Flows

Use the View Flows page to view high level information of submitted and scheduled flows. You can view submitted flows that are in progress and require your attention.

Use the standalone View Flows task from Quick Actions or from My Client Group > Payroll to access this page.

You can also navigate to this page from the Payroll Activity Center. When you navigate from the Payroll Activity Center you can view the flows in the context of a particular LDG, payroll, and payroll period.

When you use the Data Exchange work area from My Client Groups and navigate to View Flows, the page displays flows that aren’t payroll specific. It doesn’t display payroll-specific data, such as payroll, period name, or process date filters or columns.

The View Flows page displays the overall status of a flow, and each task within the flow can have a different status.

For this reason, the View Flows page displays the flow status based on the flow hierarchy. The flow hierarchy is used to display a flow status based on the task within the flow that has the most critical status.

What You Can Do on the View Flows Page

View scheduled or submitted flows sorted by the date they were created. By default, flows created in the last seven days are shown.

Search on the flow pattern name or use the filters on this page to select the flow pattern you want to submit.

Use the Filters option to view flows as per your choice and for a wide range of filter choices such as Legislative Data Group, payroll, process date, flow pattern name, individual flow status, and so on.

Use the Columns option to add to the page Submission Date, Submitted By, Scheduled Date, Process Date, Period Name, Records, or flow Type. These columns are hidden by default.

The flow dates that the page displays when you chose to show flows by the different dates are as explained here.
  • Scheduled Date displays the scheduled date for scheduled flows and no date for unscheduled flows.
  • Submission Date displays submission date for unscheduled flows and the creation date for scheduled flows.

Use the Submission Date to filter and view at a glance active flows submitted:

  • On the same day

  • In the last seven days

  • Within a date range

Use the Submitted By field to filter on the person who has submitted a process. The Submitted By field is a free text field and you can only use the 'contains' filter option, you can't use any other filter option for this field.

Use the My Submissions filter to view flows submitted by the signed-in user.

Use the Sort By option to sort the flows displayed on the page by Process Date, Submission Date, or Flow Name in alphabetical order.

Use the two in-App navigation tabs available at the bottom of the View Flows page to navigate between the Payroll Activity Center and View Flows page.

Flow Statuses

The View Flows page includes the Status Group column that displays a high-level status per flow. Each high-level status is a set of substatuses grouped together. The Status column displays the status of the flow as given here.
  • For a task flow that has multiple tasks, this column shows the completion status of the tasks. It displays the number of tasks completed within the flow.
  • For a report or a single task flow, this column shows the actual substatus of the flow.

After you search and select the flow, the actions that you can take on a flow depends on the flow status and the flow ownership. You can perform these tasks on the View Flows page:

  • Monitor and track all tasks within the flow.

  • Monitor issues with the flow such as processes in error, and review processes that are running slower than average.

  • Select a task to go to the Checklist page or Process Results page.

  • When there are no actions available for you to take, the Actions menu displays a message to indicate the reason. This is either because there are no available actions when the flow is in that status, or that you can't take actions because you aren’t the owner of the flow.

Activity Center Flows and All Flows

Use the Context Switcher on the redesigned View Flows page and select either the Activity Center Flows or All Flows options to view flows as given here.
  • If you select All Flows, the View Flows page displays all submitted and scheduled flows, with no filters applied, irrespective of the entered flow parameters.

    However, if you select and apply a filter, for example, a specific payroll, the page displays flows that use the selected payroll as a flow parameter when the flow was submitted.

  • If you select Activity Center Flows, the View Flows page displays the status of all flows that include one or more of the milestone payroll processes.

    You can use the payroll and payroll period filters to view all flows that include milestone results for the selected payroll period. For example, all flows that include payroll calculation and QuickPay results for the payroll period, that generate payments for the payroll period or include transfer to subledger accounting results for the payroll period.

  • Click the View Flows navigation tab at the bottom of the Payroll Activity Center page to navigate to the View Flows page. This navigation takes you directly to the All Flows page context.

  • Select a payroll and payroll period record on the Payroll Activity Center, click the horizontal 3 dots icon > View Flows to navigate to the View Flows page. This navigation takes you directly to the Activity Center Flows page context. The payroll and payroll period filters are retained enabling you to view all flows that include the milestone payroll processes for the selected payroll and payroll period on the Payroll Activity Center.
