How to Configure Employee Social Security Number Masking
You can mask employee Social Security Numbers (SSNs) on the US or Guam W-2 or W-2c forms. You can enable masking on the legislative data group (LDG), payroll statutory unit (PSU), and tax reporting unit (TRU).
If you choose to do this, you must perform this configuration before you attempt to generate the forms.
When configured, the masking appears as XXX-XX-1234.
To configure masking on your LDG:
-
Start the Calculation Value Definitions task.
-
Select your LDG, and set an appropriate effective as-of date.
-
Search for and select Mask Social Security Number on Year-End Forms.
-
In Calculation Values, click Add Row.
-
Copy the values of From Value, To Value, and Calculation Type Override from the predefined row into your new row.
-
To mask the SSNs, enter N for Text.
Enter Y to display the full SSNs.
-
Click Submit.
To configure masking at the organization level:
-
To configure at the PSU level, start the Manage Legal Entity HCM Information task.
To configure at the TRU level, start the Manage Legal Reporting Unit HCM Information task.
Settings on the PSU override the LDG. Settings on the TRU override those on the PSU.
-
Search for and select the PSU or TRU.
-
Click Federal in either Payroll Statutory Unit or Tax Reporting Unit.
-
In Federal W-2 Reporting Rules, set Mask Social Security Number on Year-End Forms appropriately.
-
Save your work.
