How to Identify Employees as New York City Part-Year Residents

You must identify these employees on their Reporting Information card before you process their Form W-2 for year-end.

  1. Open the person's Reporting Information card for editing.

  2. Click the Regional component group.

  3. Select NY.

    Create it if it doesn't exist.

  4. Click the Regional Tax Information calculation component. Add it if it doesn't exist.

  5. Click Enterable Calculation Values on Calculation Cards.

  6. Click Create.

  7. Search for and select Part-Year Resident.

  8. Select an appropriate value, and click OK.

    Selecting Yes ensures the year-end archive flow populates the actual wages earned in Box 18 on the person's W-2.

    Selecting No populates the wages from Box 1 on the W-2 in Box 18.

    Note:

    New York City requires wages for full-year residents to be reported as federal wages from Box 1 on the W-2. Part-year resident wages must be actual wages during the period they were residents of New York City.
