Secured Short URLs

OpenAir generates a short URL for viewing the invoice online when an invoice is created. By default, anybody with the short URL can view the invoice online without signing in to OpenAir.

You can limit access to invoice short URLs generated in future by setting a passcode. When accessing the short URL for an online invoice, users will need to enter the passcode before they can view the invoice.

To set a passcode for secured short URLs:

  1. In OpenAir, go to Administration > Global Settings > Account > Security.

  2. Enter a Passcode for secured short URLs.

  3. Click Save.

    All invoice short URLs generated after you set a passcode will be protected

Important:

Review the following guidelines:

  • An invoice short URL is secured only if Passcode for secured short URLs does not have a null value at the time when the invoice is created and the invoice short URL is generated.

  • If you are setting a passcode for the first time, short URLs for invoices created before you set the passcode are not secured.

  • If you change the passcode, the new password applies to all secured short URLs. Users accessing secured short URLs generated with the old password must enter the new password.

  • If you clear the Passcode for secured short URLs, users accessing secured short URLs can view the invoice online without entering a password. The password prompt does not appear.
