Synchronize vendor bills with BILL
After your QuickStart company and vendor are connected to BILL, QuickStart asynchronously sends eligible new vendor bills and their item-line details to the connected BILL organization. Use the integration status and error information on the vendor bill to determine whether synchronization completed or requires correction and another attempt.
Vendor bill eligibility
A new vendor bill is sent when:
- Payment Automation is enabled.
- The QuickStart account has a BILL organization.
- The vendor has a BILL vendor ID for that organization.
- The vendor bill has a due date.
QuickStart sends the BILL vendor ID, due date, QuickStart vendor bill ID and transaction date, and the amount and description of each item line.
Important limitations
- Saving a new vendor bill as a draft creates the record and can trigger synchronization. Verify the vendor, due date, transaction date, and item lines intended for BILL before you first save the bill.
- Only creation of a vendor bill triggers synchronization. Later edits, including edits made after saving a draft, are not sent to BILL.
- Deleting or voiding the QuickStart vendor bill does not currently delete or update it in BILL.
- Expense lines are not currently included in the BILL request. Do not rely on Payment Automation for an expense-only bill or for totals that depend on expense lines.
- After BILL accepts the vendor bill, QuickStart stores the BILL bill ID and displays it on the read-only BILL information tab. QuickStart does not display the BILL approval status on the vendor bill.
Review the bill in BILL before using it in an automated payment process.
