Account import details
Use File import to add accounts to the chart of accounts, update existing accounts, or load a complete chart from another system. The account template and this reference identify supported operations, required identifiers and fields, existing mandatory system accounts, and restrictions on changing or removing accounts that already contain transactions.
Supported Operations
With File Import, you can import your full chart of accounts into QuickStart, add new accounts to your existing chart of accounts, or update existing accounts.
The following operations are supported for this record type:
- Create new records.
- Update existing records.
- Create new or update existing records.
For more details about these operations, see Import a file.
Usage Notes
- When you first open your chart of accounts in QuickStart, it will already contain mandatory non-posting system accounts which you do not need to create.
- If you import a full chart of accounts, you should be aware of existing accounts in QuickStart which may already serve the same purpose as some accounts you are trying to import.
- You can import individual accounts or your complete chart of accounts from third-party systems.
- You can’t change an account’s account type if it has transactions in it. You also can’t delete accounts with transactions in them, but you can inactivate those accounts.
-
When importing accounts that already exist in QuickStart, you can use the internal ID or the external ID field to match the account data to the existing record.
For more information, see Reference existing records.
Note:
If you don’t specify an external ID when you first import accounts, you will have to use the internal ID to create external IDs for your accounts before you can update with external IDs. You cannot add or edit external IDs in the QuickStart UI.
-
The following are the minimum required fields to include for accounts:
-
- Primary Column:account:_primaryColumn
-
Number:account:acctNumber - required for all accounts except non-posting accounts
-
? Name:account:acctName
- ? Type:account:acctType._identity.id
-
Account Import File Example
The following table is an example of the Account_ADD_Help_file.csv file for importing three accounts.
Note:
The accounts in this example may already exist in QuickStart as part of a chart of accounts template, and therefore would not import correctly if the Create New Records operation is used.
