Set up Compliance Checklist Templates and Questions

You can create checklists from the user-defined templates.

This drives the consistency needed for compliance standards. With checklist templates, you can define a set of requirements needed for a specific procurement business purpose, hence you can create different templates for a specific purpose. For example, you can have different templates for your direct and indirect purchases to capture different requirements and documents.

Questions are the building blocks for your checklist. As you create a repository of individual questions, they're stored in the Question Library. You can later use questions in the Question Library to create the checklists you use for checking the compliance to create the checklists to comply with the procurement requirements.

A checklist may contain prerequisite questions, but a checklist must have a section or many sections, and these sections contain relevant questions to gather compliance related information.

  1. To create prerequisite questions: (optional)
    1. In the Setup and Maintenance work area, use the Manage Compliance Checklist Templates task.
      • Offering: Procurement
      • Functional Area: Compliance Checklists
    2. Set Question Usage as Prerequisite.
    3. Specify whether the question response is text entry, multiple choice with single selection, or multiple choice with multiple selections.
  2. Create Checklist Questions:
    1. In the Setup and Maintenance work area, use the Manage Compliance Checklist Questions task.
      • Offering: Procurement
      • Functional Area: Compliance Checklists
    2. Set the Question Usage option as Checklist.
    3. Optionally, you can map to a prerequisite question.
    4. If not mapped to a prerequisite question, specify whether the question response is text entry, multiple choice with single selection, or multiple choice with multiple selections.
    5. Indicate whether attachments are required, optional, or not allowed for each possible response. Optionally, set follow-up questions to the response using question branching.
  3. Create prerequisite and checklist sections: About checklist sections: Sections are containers for your questions. You can group checklist questions for a particular area in a section. For example, a Solicitation section could have requirements related to the solicitation process. To create prerequisite and checklist sections:
    1. In the Setup and Maintenance work area, use the Manage Compliance Checklist Sections task.
      • Offering: Procurement
      • Functional Area: Compliance Checklists
    2. Add the prerequisite questions into a checklist section with the Prerequisite section usage, if applicable.
    3. Add the checklist questions related to an area into a checklist section with the Checklist section usage.
  4. Create Compliance Checklist Templates: To create checklist templates:
    1. In the Setup and Maintenance work area, use the Manage Compliance Checklist Templates task.
      • Offering: Procurement
      • Functional Area: Compliance Checklists
    2. Set the prerequisite section, if applicable.
    3. Add the checklist sections.
