Prerequisites to Create an Award Contract

Ensure that following prerequisites are met for the award contract to be created successfully.

  • Identify the user who wants to create an award as a resource in the Resource Directory for the required business unit.

  • Set the following two profile options to enable using multiple business units and setup the default business unit:

    • HZ_ENABLE_MULTIPLE_BU_CRM: Set this profile option to Yes to enable using multiple business units in Oracle Sales Cloud. The default value is No.

    • HZ_DEFAULT_BU_CRM: Set this profile option to the default Oracle Sales Cloud business unit.

  • Setup the business functions for customer contacts.

  • Assign access to the grants administrator to manage all the awards in a business unit.

  • Assign access to the grants department administrator to access and manage only the awards and projects of a particular organization, not those of the entire business unit.

  • Assign business unit business function.

  • Setup grants personnel.

  • Setup award contract numbering method. You can set the award contract numbering method to automatic using the Manage Contract Types task in the Setup and Maintenance work area.

Setup Business Functions for Customer Contracts

You can specify a variety of business function settings for customer contracts in a specific business unit. The selections you make for these business functions impact how Oracle Enterprise Contracts behaves during contract authoring.

  1. In the Setup and Maintenance work area, go to the Specify Customer Contract Management Business Function Properties task:

    • Offering: Grants Management

    • Functional Area: Project Contracts

  2. In the Select Scope dialog box, select the business unit in which you want to create the award from the Business Unit drop-down list and click Apply and Go to Task.

  3. Complete the fields in the Specify Customer Contract Management Business Function Properties page as appropriate.

  4. Click Save and Close.

Assign Access to Grants Administrator to Manage all Awards in a Business Unit

Assign the grants administrator role so that the user can access and manage all the awards in a business unit.

  1. In the Setup and Maintenance work area, go to the Manage Data Access for Users task.

  2. Select the user to whom you want to assign the grants administrator role from the User Name drop-down list.

  3. Create the Create icon.

  4. In the Create Data Access for Users dialog box, search and select the same user from the User Name drop-down list.

  5. Select Grants Administrator from the Role drop-down list and Business Unit from the Security Context drop-down list.

  6. Select the business unit to which the grants administrator must be granted access to from the Security Context Value drop-down list.

  7. Click Save and Close.

  8. Click Done.

  9. Log out and log in as the grants administrator to view all the awards in the business unit.

Assign Access to Grants Department Administrator to Manage Awards and Projects of a Particular Organization

Assign the grants department administrator role so that the user can manage only those awards and projects that belong to a particular organization in a business unit, instead of all the organizations of the business unit.

  1. In the Setup and Maintenance work area, go to the Manage Data Access for Users task.

  2. Select the user to whom you want to assign the grants department administrator role from the User Name drop-down list.

  3. Create the Create icon.

  4. In the Create Data Access for Users dialog box, search and select the same user from the User Name drop-down list.

  5. Select Grants Department Administrator from the Role drop-down list and Award Organization Hierarchy from the Security Context drop-down list.

  6. Select the award organization hierarchy to which the grants department administrator must be granted access to from the Security Context Value drop-down list and provide the organization hierarchy, version, and starting organization. The starting organization can be any node in the organization hierarchy. If you select a higher level organization, then the grants department administrator can access awards that belong to the starting organization and any of the organizations beneath the starting organizations.

    Note: If the project organization isn't the same as the award organization, then select Project Administrator from the Role drop-down list, Project Organization Classification from the Security Context drop-down list, and the project organization classification to which the project administrator must be granted access to from the Security Context Value drop-down list.
  7. Click Save and Close.

  8. Click Done.

  9. Log out and log in as the grants department administrator to view the awards and projects that belong to the selected organization.

Note: Only organization hierarchies that are assigned to the project business unit in the Define Project Business Unit Implementations page are available as organization hierarchies in the Manage Data Access page for grants department administrators and the Award Organization Hierarchy security context. Only the award templates and project templates belonging to the organizations in the award organization hierarchy are available to the grants department administrator to create awards or projects.

Assign Business Unit Business Function

Follow these steps:

  1. In the Setup and Maintenance work area, go to the Assign Business Unit Business Function task:

    • Offering: Grants Management

    • Functional Area: Organization Structures

  2. In the Select Scope dialog box, select Select and Add from the Business Unit drop-down list and click Apply and Go to Task.

  3. In the Manage Business Units page, select the business unit in which you want to create the award and click Save and Close.

  4. In the Assign Business Functions page, verify that the check box against Customer Contract Management is selected.

  5. Click Save and Close.
