Managing Labor Schedules
You can create and maintain labor schedules using the Labor Distribution work area, or by using our external data integration services, such as REST API calls or FBDI sheets.
Creating Labor Schedules
To create a labor schedule, navigate to Projects > Labor Distribution and click Create in the Manage Labor Schedules page. Use the Create Labor Schedule side panel to create Assignment and Element labor schedules as required.
Select the Costed Only check box to specify that you want to use only those pay elements that are setup in Payroll with costing instructions, so that you can be sure to see only the ones that can be used for importing labor costs from Oracle Fusion Payroll.
Searching for Labor Schedules
Use the Search field in the Manage Labor Schedules page to search for existing labor schedules. The page organizes your search results by Assignment and Element tabs.
You can use a combination of words or phrases to fine-tune your search results. Click on a labor schedule to view and manage its details.
Maintaining Labor Schedules
Use the Create and Maintain page that appears when you first create a labor schedule, or when you click on a labor schedule in the Manage Labor Schedules page, to manage:
- Labor Schedules: Add or Edit labor schedules.
- Schedule Versions: Manage labor schedule versions associated with a labor schedule.
- Distribution Rules: Manage distribution rules associated with a labor schedule version.
Use the View all applicable schedules button to view all the labor schedules associated with a person assignment or pay element, for analysis and exporting.
Managing Labor Schedule Versions
A labor schedule can have multiple labor schedule versions, and each of these schedule versions can be in New, Inactive, or Active status. However, you can only have one active labor schedule version of a given type at any given time. Therefore, each labor schedule version must have a valid start date, end date, and status.
You can edit active schedule versions, but you can't delete them. You can only delete labor schedule versions that are in New status. Similarly, you can't edit the start and end dates of an active labor schedule version; you must render it inactive first. You can also duplicate an existing schedule version and modify the copied version to create a new one.
Managing Distribution Rules
Each labor schedules can have multiple distribution rules. You can add distribution rules to a labor schedule version only when it's in the New state.
You can create two kinds of distribution rules, project and nonproject distribution rules.
When you create a Project distribution rule, you must specify the Project and Task, the Expenditure Organization and Expenditure Type, and the Percentage of the person's labor cost that you want to distribute using the distribution rule. In the context of a sponsored project, you must also provide the award and funding source details.
- The project and task you select accepts cross-charges from the business unit of the person's assignment only if the business unit of the person assignment is not the same as the business unit of the project to which the cost is going.
- The start and end dates of the project and task you select align with the labor schedule version start and end dates.
Considerations for Managing Labor Schedules
- Once a labor schedule version is saved, regardless of type, you can change its
status by editing the associated version. when you enter distribution rules, the
application runs validations in the background to ensure that:
- Project, task, or award minimum start date is less than the end date of the labor schedule version.
- Project, task, or award minimum end date is greater than the start date of the labor schedule version.
- Only one version of a labor schedule type can be active for any given day; however, you can create overlapping labor schedules of different types. For example, Person Assignment type for July 1, 2020 to June 30, 2021 can be active at the same time as a Person Assignment Pay Element type for the same or overlapping time period.
- Once you set the status of a labor schedule version to Active, you can't update the start and end dates of the version, nor can you change its status back to New.
- Once you set the status of a labor schedule version to Inactive, you can't update the start and end dates of the version, nor can you change its status back to New.
