Managing Inspections for an Agency

Agency staff and system administrators manage activity for all of the agency’s inspections on the Inspections console page.

Use the Inspections console page to view a complete list of inspections for every application. From this page you can manage the full inspection life cycle. Here are some of the actions agency staff with required job roles and job attributes can perform on inspections:

  • Add inspections.

  • Request reinspections for failed inspections.

  • Manually assign or reassign individual inspections.

  • Automatically assign or reassign multiple inspections at once.

  • View inspection details.

  • View inspection request.

  • Cancel, reschedule, and postpone inspections.

  • View pending inspections.

  • Claim inspections assigned to another inspector.

When applicants and contacts with permit or business license access click the Inspections tile on their landing page after logging in, they see a modified version of the Inspections console page. From the list, the user can access inspection details and schedule additional inspections for the permits and business licenses they are associated with.

Tip: You can access this page on a mobile device as well as on a laptop or desktop computer. The layout and some functionality changes based on the device you are using.
Note: Agencies may only allow inspections to be performed after prerequisite inspections are completed, but agency staff can override dependency requirements when assigning, reassigning, or scheduling inspections. Filtering Inspection Information

  1. Select the Inspections tile on the agency springboard.

  2. Use the drop-down boxes at the top of the page in combination to filter the displayed inspections by date. Your agency can choose the default values for the date type and time period fields in the agency-level setup options. For more information, see Setting Up Agencies.

    Here are the types of dates you can filter by:

    • Requested - Displays inspections that were requested. The status can be Requested or Canceled.

    • Unassigned - Displays inspections with no inspector assigned and the status is Requested.

    • Scheduled - Displays inspections that were scheduled. The status can be Scheduled or Canceled.

    • Completed - Displays inspections with a Completed status.

    • All Date Types Displays inspections with all of the listed date types.

    The time periods you can filter by are:

    • Today

    • Yesterday

    • Tomorrow

    • Last 14 Days

    • Next 14 Days

    • Last 30 Days

    • Next 30 Days

    • Date Range

    For example, if you want to view the inspections scheduled for today and the next two weeks, select Scheduled and Next 14 Days.

  3. Use the Filter By options to apply different filters:

    Description

    Pending

    Turn on the switch to show inspections with a pending status.

    My Job

    Turn on the switch to view only the inspections assigned to the logged in user.

    Filter By button

    Click the Filter By button to open the Filter By panel fields for customizing your filter. For more information, see Using Grids.

    Reset

    Click to clear all of your filter, search, and sort selections and return to the agency's default settings. This button appears only when filters are applied.

    Your selections for the Date Type and Date Range filter fields as well as the Pending and My Job switches are maintained while you work until you intentionally clear them or log out, ending your session.

    Once you apply these filters, your settings remain throughout your online session on the All, Permits, and Business Licenses tabs of the Inspections console page. The system automatically resets to the default display when you open a new session.

Viewing Inspection Information

  1. Select the Inspections tile on the agency springboard.

  2. On the Inspections console page, you can view inspection information on three tabs, depending on the offerings implemented by your agency:

    • All - View all inspections.

    • Permits - View permit inspections.

    • Business Licenses - View business license inspections.

  3. On each tab, you can view inspection information including these fields:

    Note: The way the columns are displayed in the inspections grid may vary depending on the grid format selected by your agency. For information about expanded and condensed grid formats and common grid controls, see Using Grids and Personalizing Grid Displays.

    Page Element

    Description

    Inspection and Inspection Type

    Displays the automatically generated inspection number and the inspection type.

    Inspection types determine the scheduling method, assessment type, passing rule, rating method, scoring method, type of inspection checklist, and so on. For more information, see Setting Up Inspection Types.

    The inspection type is displayed beneath the inspection number in the condensed grid format.

    Required

    Indicates whether this inspection type is required for the application. The agency determines which inspection types are required on the inspection group setup page or when an inspection is added by authorized agency staff.

    Status

    View the inspection status, which can be one of these, depending on the inspection statuses defined by your agency:

    • Scheduled

    • Requested

    • Completed

    • Canceled

    • Pending

    The inspection status is displayed beneath the inspection type in the condensed grid format.

    Classification

    Appears on the All tab to distinguish between inspections created for Permits and Business Licenses.

    Application and Application Type

    Displays the automatically generated application number or ID associated with the inspection. Click the application ID link to access the overview or summary page for the application.

    Relationship Type

    For permit inspections only, indicates whether the inspection is associated with the primary permit (Primary) or one of its subapplications (Subapplication). You can click the column title to change the sort order to display inspections associated with primary permits or with subapplications first.

    Relationship Details

    For permit inspections only, a View Subapplications link is displayed when the permit associated with the inspection is a primary inspection. When the permit associated with an inspection is a subapplication, the primary permit number appears as a link to the primary permit.

    Activity

    Appears on the All and Business Licenses tabs for business license inspections to identify the business license application activity: Origination, Renewal, or Amendment.

    Description

    Displays the application description entered during application intake or on the application's overview page.

    Doing Business As

    Appears on the All and Business Licenses tabs for business license inspections to display the name the business is running under (also known as DBA).

    Property and City

    Displays the address of the property and city associated with the inspection.

    You can sort the Property column by the street name, first line of an address, or city by clicking the arrow icon on the column header and selecting Street, Address, or City in the condensed grid format.

    Preferred Date

    Displays the preferred date and time for the requested inspection if the scheduling method for the inspection type is Request.

    If your agency sets up the Request scheduling method in permits or business licenses to show the date only, you won't see the time range in the Preferred Date column.

    Ready-by Date

    Displays the date and time when the requested inspection is ready if the scheduling method for the inspection type is Ready.

    If your agency sets up the Ready scheduling method in permits or business licenses to show the date only, you won't see the time in the Ready-by Date column.

    Scheduled

    Displays the scheduled date and time for the inspection.

    Completed

    Displays the date and time when the inspection was completed.

    Preferred Inspector

    Displays the preferred inspector requested for the inspection.

    Inspector

    Displays the name of the inspector assigned to the inspection.

    Result

    Displays the inspection result, such as whether the inspection passed or failed. For example, a business license inspection may show an Approved result.

    Reinspection

    Displays reinspection information after a reinspection request has been submitted.

    • If the inspection row is for a reinspection, this column displays the unique identifier of the original failed inspection.

    • If the inspection row is for a failed inspection that has been reinspected, this column references the unique identifier of the reinspection.

Performing Actions for Inspections

Let's take a look at the actions available on the list of inspections created within an agency.

  1. Select the Inspections tile on the agency springboard.

  2. On the Inspections console page, you can perform the following actions for an inspection:

    Add Inspection

    Click the button request inspections for an application. You can also add an inspection using the Actions menu in the inspection row. See Requesting Inspections.

    If your agency supports pending inspections, the system prevents you from creating a new or duplicate inspection when an inspection of the same type is already pending. You can schedule the existing pending inspection.

    Select Multiple button

    Click the Select Multiple button as the first step for automatically assigning or reassigning multiple inspections in a batch. Select the inspections you want to assign then click Assign.

    Assign icon

    Click the Assign icon to manually assign an inspection to an inspector for a specific date and time on the Scheduling modal page. The icon appears only for users with the PSC Inspections Supervisor role.

    If an inspection is already assigned, but not yet completed, you can use this button to reassign the inspection.

    Note: You'll receive a warning when you assign or reassign an inspection with prerequisite inspections that haven't passed or been corrected.

    Reinspect

    Click to this button for a failed inspection to access the Inspection Request page where you can submit a reinspection request for a failed inspection. The reinspection request has a new inspection ID, and it includes all of the information from the failed inspection. Before submitting the reinspection request, you must enter the required scheduling information based on the scheduling method of the inspection.

  3. You can access more actions by clicking the actions icon in the Actions column:

    Select one of the available actions in the drop-down menu:

    • Add Inspection

    • Cancel Inspection

    • Reschedule

    • Postpone

    • View Request

    • View Detail

    • Assign to Me

    The table here describes the options for adding an inspection, viewing the inspection request, viewing inspection detail, and claiming an inspection.

    Actions available when you click the Actions icon on the Inspections page

    Page Element

    Description

    Add Inspection

    Click to request additional inspections for the permit associated with the inspection. See Requesting Inspections.

    View Detail

    Click to view the inspection details on the Inspection Detail page. See Reviewing Inspection Details.

    View Request

    Click to review, update, or cancel an inspection on the Inspection Request page. See Requesting Inspections.

    Assign to Me

    Claim a scheduled inspection assigned to another inspector. This action is available when the inspector who claims the inspection has the Building Inspector job function with district and inspection type job attributes that match the inspection's district and type attributes.

    If you want to reschedule the inspection, click the View Detail action to select a new date and time on the Inspection Detail page.

    Inspectors can also claim inspections on the Inspections page in the application details and in the Oracle Inspector mobile application.
