Managing Business Information

You find business detail pages in a collection that consolidates all aspects of a business, such as owners, locations, and licenses.

Business license applicants enter detailed business information during the application intake or consultation process. When the application is submitted as a new business, a new business record is created in the Community Development Business Licenses system as per the entries in the application. The new business record is in provisional status until the agency approves the application and issues a license. Once approved, the business information is updated and the business status changes to active.

For a license application submitted using the business information of an existing business in the system, the associated business record is updated based on the entries in the new application. The integration between the business record and the license application enables you to view the latest information in the business detail pages.

Note: Authorized agency users can update information on the business pages. All the changes are automatically synced to the current business licenses as well as the in-progress activities for the business.

Here’s how you access the business detail pages:

  1. Select the Businesses tile on the Agency Springboard.

    Registered users access the Businesses tile on the landing page.

  2. On the Businesses page, click the row for a business.

  3. Navigate to business information using the links in the left panel.

The business detail pages help you find information about a specific business:

Page Name

Description

Overview

Displays the legal name and status of the business.

If business is inactive, the status also shows the date of inactivation. See Inactivating Business Licenses.

Use the Hide Business from Public View switch to allow authorized users to manage the display of business information to public users. By default, this switch is turned off. When the switch is turned on, the business and all its associated business licenses are hidden from public users.

Note: The Hide Business from Public View switch is displayed only when the agency allows hiding of a business from public view. For more information, see Setting Up Agency-Level Options for Business Licenses.

View the core information regarding the selected business with links to more detail.

On the Overview page, review information, when available, about the selected business in sections, such as Business Summary, Latest Activity, Owners or Corporate Officers, and Locations. You can click the View Details links in these sections to navigate to more details.

In the Business Summary section, click the legal name link to open the Business Details page.

The Owners or Corporate Officers section displays the owner and up to three previous owners, at a time. If there are more owners, click the chevrons to go forwards and backwards in the list. Click the button on the owner box to open a modal page to view the details.

Business Details

View information such as the legal name of the business, the ownership type, address, federal tax ID, fiscal year end, and other business details.

Use the Hide Business from Public View switch to allow authorized users to manage the display of business information to public users. By default, this switch is turned off. When the switch is turned on, the business and all its associated business licenses are hidden from public users. See Setting Up Agency-Level Options for Business Licenses.

Owners

View a list of owners or corporate officers for the business. Click a person on the list to view detailed information about them.

Authorized agency users can edit to update information, such as personal details, address, and citizenship status.

Locations

View a list of the physical locations associated with the business. Click a row on the list to view detailed information about the location.

Use the Edit button to update location details like the Doing Business As (DBA) name, location type and address, mailing and billing addresses, and emergency contacts.

Licenses

View a list of licenses associated with the business. On this page you can:

  • Click Apply to initiate another license application for the business. For more information on applying for a business license, see Choosing an Application Type.

  • Drill down on each license to view more information.

  • Amend or renew a business license by clicking the three-dot Action menu and selecting the appropriate action. Amend and Renew actions are not available for an inactive license.

Communication

View a list of all communications associated with the business.

Use the Send Message action on the Locations grid for sending adhoc communication for the business location.

On the Ad Hoc Message page, you can specify:

  • Channel Type: From the drop-down list, select Email, Emails and Notifications, Notification, or Text as the channel type.
  • Display Format: From the drop-down list, select HTML or Text as the display format.
  • Visibility: From the drop-down list, select Applicant and contacts, Agency staff only, or Applicant and Primary Contact as the visibility.
    Note: The registered public users can only view communications based on the visibility defined in the communication.

    Under the Email Attributes tab, you can:

  • To: Enter the recipient's email address.
  • Cc: Enter the email address to which you want to send a copy of the email.
  • Bcc: Enter the email address to which you want to send a copy of the email but hide the email address from all other recipients.

    Under the Compose tab, you can:

  • From: Enter the person's email address who is sending the message.
  • Subject: Enter the subject of the message.
  • Message Body: Type the message contents.
    Note: You can select a number of attributes from the Business and Location to be included in the message.
  • Click Send button to send the communication.
Note: When amendment and renewal transactions include changes to business information, those changes don’t appear on these pages until the transactions are approved.

Updating Business Details

For all active businesses, authorized agency users can edit information on the Business Details page. All updates made on the business details page are automatically synced to the current business licenses as well as the in-progress activities for the business.

To update the Business Details page:

  1. Select the Businesses tile on the Agency Springboard.

    Registered users access the Businesses tile on the landing page.

  2. On the Businesses page, click the row for a business.

  3. Click the Business Details link in the left panel.

  4. Click the Edit button.

    Note: This button is not available if the business is inactive.

    Description

    Business

    Displays the business code.

    Status

    There are three available statuses for a business: Active, Inactive, and Pending approval.

    Legal Name

    The name under which the business is registered.

    Ownership Type

    Select the type of ownership of the business, for example, a corporation or a nonprofit organization.

    Country

    Displays the country in which the business is located.

    Postal Code

    Enter the postal code. If you are in doubt, click the Don't Know link, to enter the full address.

    Address

    Enter the address of the business.

    Federal Tax ID

    Enter the federal tax identification number or the Employer Identification Number (EIN) which is used to identify the business entity.

    Fiscal Year End

    From the drop-down list, choose the month and date of the fiscal year end for the business.

    Is this business a nonprofit or an exempt entity?

    Turn on the switch to indicate that the business is a nonprofit or an exempt entity. The available exempt types are: Governmental Liaison between IRS and federal, state, and local government, and Religious, charitable, scientific, literary, educational.

    Select the options for this business that may qualify for a discount

    Options include:

    • Veteran Owned

    • Minority Owned

    • Female Owned

    • Disadvantaged Enterprise

    • Small Business

  5. Click Save.

Adding Business Owners

  1. Select the Businesses tile on the Agency Springboard.

    Registered users access the Businesses tile on the landing page.

  2. On the businesses page, click the desired record.

  3. Click the Owners link in the left panel.

  4. Click the Add button to open the Owners or Corporate Officers modal page.

    Status

    There are three available statuses for an owner: Active, Inactive, and Pending approval.

    Name details

    Name details include preferred salutation, first, middle and last names, and suffix and title, if any.

    Postal Code

    Enter the postal code. If you are in doubt about the postal code, click the Don't Know link, to enter the full address.

    Ownership Percentage

    Enter the ownership percentage.

    Driver's license

    Enter the license number, issuing state, and expiration date.

    Phone

    Enter the phone type, code, number and extension.

    Citizenship Status

    There are three available citizenship statuses for an owner: H4 Visa, US Citizen, and Unknown.

  5. Click Save.

Note: Whenever a person is added as an owner to a business or business application, the person also gets automatically added as a contact.

The primary contact and contact users who have full access to the application or have access to–view the application, pay fees, and print license–can view the application details. Contacts also see the applications they applied for themselves. See Working with Application Contacts and Setting Up Contact Types.

Updating Business Owner Information

  1. Select the Businesses tile on the Agency Springboard.

    Registered users access the Businesses tile on the landing page.

  2. On the businesses page, click the desired record.

  3. Click the Owners link in the left panel.

  4. On the Owners or Corporate Officers page, click the row for a business owner to update the information.

  5. On the Owners or Corporate Officers page, click the Edit button to make the changes.
    Note: You can use the Edit button to change the status of an owner from Active to Inactive or vice versa. But owners in the Pending approval status can’t be updated.
  6. Click Save.
