Working with Linked Reference Entities

Entities selected on the permit application intake form appear in the list of linked reference entities in the permit application details. The permit detail displays the Reference Entities page only if the agency has set up reference entities for use with the different permit types.

Once an application is submitted, only authorized agency staff can manage the reference entities linked to a permit. For more information, see Reference Entity Overview.

The reference entity details that your agency collects are saved as part of the permit history.

On the Reference Entities page, click + Link to add a link to a predefined reference entity to the list of referenced entities.

Let's take a look at the reference entity information that's collected:

Location

The location provided by the agency for the referenced entity.

ID

The unique reference entity ID generated when the agency set up the reference entity. Agency staff can click the ID link to open the reference entity record details.

Name

The name of the reference entity.

Reference Entity Type

The type of reference entity.

Status

Indicates whether this reference entity is active.

Description

The reference entity description.

Unlink reference entity icon

In the Actions column, authorized agency staff can click the unlink icon to remove a reference entity from a permit. If the reference entity is associated with inspections, the system validates the inspection status before unlinking. When active inspections exist, users must confirm the action, the reference entity will be unlinked from the permit and removed from active inspections. If only completed inspections exist, the reference entity is unlinked from the permit while references on completed inspections are retained. Public users can't unlink reference entities after application submission. All unlinking actions are saved as part of the permit history.

Click the Edit button to update the list of linked reference entities.

After linking a permit to at least 1 reference entity that has been set up by the agency to be inspectable, agency staff, applicants, and contacts with application access can select entities when scheduling an inspection to be more specific about what should be inspected.
