Working with Contractor Expiration
Agencies can manage contractor license and contractor license insurance expiration using scheduled rules set up in the Business Rules Framework. The rules can be configured to automate communications and the resolution of contractor conditions associated with expiring or expired contractor licenses and license insurance.
Your agency can also set up the system to automatically apply contractor license conditions when the contractor license or insurance expires. For more information, see Applying Conditions to Contractor Licenses.
Here's how administrators can configure the communication and condition resolution actions for the contractor expiration:
-
Navigate to the Business Rules Framework.
-
Select Scheduled Rules.
For more information about working with scheduled rules, see Setting Up Scheduled Rules.
-
Use the Search function to find these events:
- Contractor License Expiration
- Contractor License Insurance Expiration
-
In the Criteria section, add the criteria for contractor licenses, including License Status and Expire Date.
-
Add the actions for the rule like this:
Action Description Send communication
Select this action to automatically send notification emails to the business and the license holder when a license or insurance is about to expire or has expired.
If you select the action to send communication, you also need to select templates for these communication events: Contractor License Expiration and Contractor License Insurance Expiration. Set up a template for each event. All attributes from the Contractor Licenses resource are available for personalization in the message body of outgoing communications.
Templates need to be set up in the Communication Events page. The License Holder Email and Business Email attributes are available when setting up the communication recipients. For more information, see Setting Up Send Communication Actions and Setting Up Communication Templates.
Resolve conditions
Select this action to automatically resolve specified contractor conditions related to contractor license or insurance expiration. For more information, see Applying Conditions to Contractor Licenses and Setting Up Resolve Condition Actions.
