Setting Up Application Status Report Generator for Planning and Zoning

The Application Status Report Generator creates a status report for Planning and Zoning applications. The agent retrieves available application information and organizes it into a structured report that agency users can review and revise.

The agent generates one report for one Planning and Zoning application at a time. You run the agent directly from the AI Agent Studio, providing the Planning and Zoning application ID as input. The agent generates the report from information available in the Planning and Zoning application. Depending on the application data, the report can include:

  • Planning application details

  • Property and parcel details

  • Fees and payment information

  • Application status history

  • Condition lists

  • Associated projects

  • Transaction assignees

  • Hearings and decisions

  • Custom fields

  • Activity logs

  • Conditions of approval

When information isn't available for a report section, the report indicates that no related information was found.

Here’s how to enable the AI functionality for the Application Status Report Generator:

  1. In Functional Setup Manager, ensure that AI is enabled for Planning and Zoning if you haven’t already.

  2. Complete the AI security setup. For more information see Security AI Agents and Agentic Apps.

Creating the Application Status Report Generator

Create an agency-specific agent team from the delivered template in AI Agent Studio.

  1. Open AI Agent Studio.

  2. Search for the Application Status Report Generator for Planning and Zoning template.

  3. Use or copy the template:

    • To copy the template, click Copy Template and enter a unique suffix for the agent team.

    • To use the template, click Use Template and enter an agent team name and agent team code.

  4. Save the agent team.

  5. On the Agent Teams page, locate the agent team that you created.

Running the Agent

Run the agent from AI Agent Studio with the record ID of an existing Planning and Zoning application.

  1. On the Agent Teams page, open the agent team that you created.

  2. Click Run.

  3. Select REST as the trigger type.

  4. In the LNP Record ID input field, enter a valid Planning and Zoning application ID.

    Note:

    The LNP record ID is the application ID for the Planning and Zoning application.

  5. Review the generated staff report.

Configuring the Report Content

Modify the copied agent team to meet your agency's reporting requirements. Add, remove, or rearrange the data-retrieval nodes and modify the report structure and content in the Generate Staff Report prompt.

Keep the data-retrieval nodes and the Generate Staff Report prompt consistent:

  • When you remove a data object, remove the corresponding instructions from the report prompt.

  • When you add a data object, add instructions to the report prompt that specify how the object output should appear in the report.

  • To omit an available field or internal code from the report, explicitly exclude it in the report prompt.

The report includes only the information made available by the configured data-retrieval nodes and requested by the report prompt.
