New Features for Approvals Work Area

  • In the Details view, you can add comments and attachments in the History panel. Click Add Information and enter a comment, attach one or more files, or add a link.
  • Supported custom actions, for example Acknowledge Hold and Reject Hold, and so on, are reflected in the task list, so for custom actions, you’ll see correct actions reflected, instead of uniformly using Approve or Reject.
  • Claim and Release options are available for workflows that require them in the task list and the Details view.
    • In the task list, if you’re a candidate to claim a task, click the Claim icon to claim a task. You can then approve, reject, reassign, or release the task.
    • In the Details view, click Claim and select from the available actions to, for example, claim or release the task.

The new Approvals work area functionality provides improved ability to add links and attachments to task history and new actions and the ability to claim and release tasks.

Steps to Enable

You don't need to do anything to enable this feature if you're already using the Approvals work area instead of the Worklist: Approvals and Notifications work area. However, to apply new settings or features retroactively to existing tasks, run the Create Approvals Search Index scheduled process to reingest. In the Process Details, set the following options:

  • Select Yes for the Reingest optional parameter.
  • In the From optional parameter, enter a date from which to ingest tasks. If you want to ingest all tasks, leave this parameter blank.

Tips And Considerations

  • Attached files up to 10 MB can be uploaded in a batch.
  • When you attach up to three files, they're listed individually. If you upload more than three files or comments within two minutes, they're grouped as a link in the History panel.
