Cancel and Redraft Offers

As a recruiting user, you can cancel a job offer for a candidate using a new simple one-step process. When you use the Cancel Offer action, the Cancel Job Offer screen appears with the following info:

  • The phase in read-only mode.
  • The state which is defaulted to Rejected by Employer. But you can change it to Withdrawn by Candidate if needed.
  • A Comment field where you can enter the reason for rejecting the candidate application.

A new alert is available in Alerts Composer to notify the offer team (hiring manager and collaborators) when a user cancels a job offer using the Cancel Offer action: IRC_Cancel_Job_Offer

You can use the Cancel Offer action when the job applications are in the following phases and states:

  • Job Offer phase, with the Approved, Extended, or Accepted state
  • Custom phases after the Job Offer phase
  • HR phase, all states except Processed

Also, you can now use the Redraft Offer action for job applications that are in the HR phase.

When the pending worker is converted into an employee or contingent worker, the Cancel Offer and Redraft Offer actions are no longer visible.

With these enhancements:

  • Recruiting users can cancel job offers with one-step action without any manual coordination with the HR specialist or any other team member, especially when the candidate application is in the HR phase.
  • Recruiting users can redraft job offers from the Manage Job Offer screen with just one step. Prior to this release, users had to cancel the work relationship then run a scheduled process to view the Redraft Offer action.
  • System is canceling the work relationship of the pending worker in the background on behalf of the user, so that they can perform the Cancel Offer or Redraft Offer action with just one click.

Steps to Enable

A new profile option ORA_IRC_OFFER_CANCEL_REDRAFT_ENABLED has been added to enable this feature. By default, the profile option is set to "N", meaning the feature is delivered disabled by default.

To enable the profile option:

  1. In the Setup and Maintenance work area, click the Tasks icon.
  2. Click Search.
  3. On the Search page, search for the task Manage Administrator Profile Values.
  4. Click the task name.
  5. On the Manage Administrator Profile Values, search for the profile option code ORA_IRC_OFFER_CANCEL_REDRAFT_ENABLED.
  6. In the Profile Values section, set the profile value to Y.
  7. Click Save and Close.

A user needs the following privileges to view the Cancel Offer action and Redraft Offer action after a job application has reached the HR phase. These two privileges are granted by default to the Human Resource Specialist and Recruiting Manager roles.

Cancel Job Offer

This privilege is granted by default to the Human Resource Specialist role through the Address Job Offer duty role, and to the Recruiting Manager role through the Manage Job Offer by Recruiting Manager duty role.

Redraft Job Offer After HR Phase

This privilege is granted by default to the Human Resource Specialist role through the Address Job Offer duty role, and to the Recruiting Manager role through the Manage Job Offer by Recruiting Manager duty role.

The Prevent Redrafting Offers section in the Enterprise Recruiting and Candidate Experience Information task page was renamed End Dating Offer Assignments. The default value of the existing two options have been modified. It's now 30 days (instead of 90 days) for the option After Reaching the Final Successful State, and 30 days (instead of 90 days) for the option After Reaching Any Final Unsuccessful State. A note was also added to provide more details about the impact of end dating a job offer.

New Offer Section Called End Dating Offer Assignments

  1. In the Setup and Maintenance work area, go to:
  • Offering: Recruiting and Candidate Experience
  • Functional Area: Recruiting and Candidate Experience Management
  • Task: Enterprise Recruiting and Candidate Experience Information
  1. Expand the Offer section and click Edit.
  2. In the End Dating Offer Assignments section, two options are available:
  • After Reaching the Final Successful State (HR - Processed) - Default value is now 30 days.
  • After Reaching Any Final Unsuccessful State (Rejected by Employer or Withdrawn by Candidate) in the Offer Phase or Any Later Phase - Default is now 30 days.
  1. Click Save.

The availability of the Cancel Offer and Redraft Offer actions are dependent on the values (days) you set for the above settings. There’s no dependency on the profile option ORA_IRC_OFFER_CANCEL_REDRAFT_ENABLED for the above setting.
