Interview Merge Field Information

Please review the following information if you send emails for interviews.

There is an option to set the candidate’s time zone when scheduling an interview, so that the email to the candidate will have the correct time from the candidate’s perspective. You should use some/all of these merge fields in the email template that is sent to the candidate:

<<CANDIDATE_INTERVIEW_DATE>>

<<CANDIDATE_INTERVIEW_START_TIME>>

<<CANDIDATE_INTERVIEW_END_TIME>>

<<CANDIDATE_INTERVIEWERS_LIST>>

<<CANDIDATE_INTERVIEWERS_LIST_EMAIL>> (this is a new merge field which includes the email addresses for all interviewers)

Emails sent to the interviewers will contain the time and date from the perspective of the TBE User who scheduled the interview when the following merge fields are used:

<<INTERVIEW_DATE>>

<INTERVIEW_START_TIME>>

<<INTERVIEW_END_TIME>>

<<INTERVIEWERS_LIST>>

There is also a merge field which will list each interviewer from their own local time and date. This merge field is <<INTERVIEWERS_LIST_DATE_TIME>>You will most likely only want to include this in the template that is sent to internal interviewers and not the candidate.

When you schedule an interview and the time for an interviewer goes past midnight for their own local time, but before midnight in your time, the time and date correctly appear for these interviews. However, if you get past midnight in your own local time, the system assumes you are talking about the previous day (before midnight) and so the date will be incorrect. You can see this is the case in the following example, where the interviews are scheduled starting at 11:00 PM and are intended to go to 2:00 AM, but once the interview is saved, the order of the interviewer time slots switched and the ones after midnight are seen as happening first earlier in the day:

Scheduling Interviews past midnight in local time

To avoid this issue, if you need to extend an interview past midnight in your own local time, you should create two separate interviews so that the time and date will be correct for all interviewers.
