Automated Synchronization of Linked Job and Position Profiles

The synchronization or sync process updates and maintains position profiles by inheriting items from linked job profiles and keeping the job and position profile in sync thereafter. You can also access logs for all the position profiles that were part of the sync process. To enable this feature, configuration is required.

Easier for profile administrators to maintain position profiles as their linked job profiles evolve. Enable workers to keep up with and qualify for roles as applicable and advance organizational objectives as a result.

Steps to Enable

The screenshot below displays few options that are available in the Job to position profile sync configuration section under My Client Groups ->Profiles ->Profile Types ->Job. The sync is initiated only if Sync to position profile is selected.

You can also access logs to review the results of completed sync runs. These logs present warnings and errors as well as actions you may need to take to ensure consistency of data being synced. The screenshot below displays the steps to view the log or report.

Tips And Considerations

You can:

  • Initiate the sync from a job profile or position profile, or by scheduling the job Sync Position Profile in the process scheduler.
    • If the sync is initiated from a job profile, only the associated position profiles are synced.
    • If the sync is initiated from a position profile, only that position profile is synced with the job profile.
    • If the job Sync Position Profile is scheduled in the process scheduler, all the jobs and their associated position profiles are synced.
  • Update the value of an attribute in the position profile that was synced from the job profile. Once the attribute is updated in the position profile, the item can't be synced with the job profile.
  • Add, update, or delete items in a job profile. These changes are synced in the position profile.
  • Add or delete attachments in a job profile and this will sync in the position profile.
  • Sync only if there is at least one position profile referencing the job profile you want to sync from.
  • Copy job description, job responsibility, job qualification, job criticality, job risk and attachments from job profile to position profile, only if the attribute values are blank in the position profile.
  • Override the synced items in the position profile if the Override Synced Items checkbox in the Job to position profile sync configuration section under My Client Groups ->Profiles ->Profile Types ->Job is selected.

You can't:

  • Sync descriptive flexfield related attributes from job profiles to position profiles.
  • Sync job profile to position profile if the position profile items that were synced earlier are modified and do not match with the job profile.
  • Delete an item on the position profile that was synced from the job profile.
  • Sync inactive job profiles with position profiles.
  • Sync job profiles with inactive position profiles.
  • Add duplicate content items in a job or position profile.
