Retroactive Overpayment Recovery for Timecard Elements

This enhancement extends the retro recoveries or overpayment support beyond earnings elements to include specific timecard elements, such as hours * rate * factor. This lets the overpayments created by timecard changes after payroll processing to be identified and recovered through the existing retro recoveries framework.

When you create eligible timecard elements, you’ll see a new configuration question under Special Rules in the element template: Is this element subject to retroactive recoveries? This lets you decide whether a timecard element participates in retroactive recoveries when timecard changes occur after payroll processing. If you select the Yes option, the application automatically creates the additional elements and formulas needed to support recovery processing. Otherwise, the application won’t create those artifacts and won’t consider the element for overpayment functionality.

New value definitions, Other Units Recoveries and Total Other Units Recoveries (flat amount, legislation-dependent) are created to support retro recoveries for time-related elements.

This enhancement supports common operational cases where a time entry was already processed in payroll and later withdrawn or changed and retransferred, triggering an overpayment that can now be recovered.

Steps to enable and configure

Prerequisite setup steps:

The retroactive overpayment and recovery functionality must be enabled. For more information, see How do I set up Retroactive Overpayment and Recovery for Earnings Elements?

Tips and considerations

The existing recovery processing is unchanged. Overpayment card creation, recovery entry and processing, auto-stop after full recovery, and retro overpayment report work the same as today.
